Full-time salary position is the goal. Initially, a 6-month temporary position. Training for and fast-track potential to become Operations Manager as company grows and changes. Working alongside the Operations Manager and bookkeeper, manages company operations, including logistics/warehousing, customer satisfaction, and inventory management. Effectively and efficiently handles all accounts payable, payroll, taxes, accounts receivable, and other administrative tasks.
Major Accounting Responsibilities
- Enters bills, credit card transactions, expense reports, and other expenses into our accounting system
- Verifies accuracy of bills and pays them on-time
- Imports orders and payments from our online ordering system into Quickbooks Online
- Twice per month, executes payroll on-time
- Files and pays sales tax, property tax, franchise tax, and other periodic filings
- Sends out physical invoices on occasion, handles accounts receivable, calls past due customers, & receives payments into our system
- Reconciles bank accounts, credit card accounts, etc. monthly
- Captures and records key metrics at specific times each month, on-time
- Comfortable working with computers, typing, email, MS Word, etc.
Other Major Duties
- Supervises Warehouse Shipping/Receiving Associate
- Ensures our Duncanville store location operates every day in a productive and efficient manner
- Supervises hazardous materials shipments and ensures compliance w/ Hazmat transportation laws
- Point of contact for customer support-related issues and concerns
- Files and tracks claims with suppliers for damaged or defective items
- Maintains relationships with key local customers, following up/touching base regularly, taking orders
- Calculates sales commissions monthly
- Calculates shipping incentives and administers incentive program
- Tracks inventory levels and maintains inventory counts monthly
- Handles walk-in sales for Duncanville location on occasion, enters orders, takes payment, and handles returns & refunds
- Checks counts on incoming deliveries, ensuring that any problems are recorded on BOLs
- Handles incoming phone sales or takes messages on occasion, as needed
- Deposits/transfers, lends a hand with shipping on occasion, overseas claims
- Participates in / leads contract negotiations with Fed-Ex, UPS, and LTL carriers
Qualifications
- Is ethical, works well with others, a hard worker, has a great attitude, works efficiently, is proactive, takes responsibility, goes above and beyond expectations, and is willing to help out when needed
- Organized, meticulous, and detail-oriented person that doesn't let anything slip through the cracks
- Previous experience (5-10 years) with accounting or finance
- Some post-high school coursework in accounting or finance, required (BS, preferred)
- A demonstrable understanding of accounting or finance, required (ie: debits/credits, cash/accrual basis, etc)
- Previous experience leading teams (interviewing, tracking progress, etc)
- Previous experience with Quickbooks Online, preferred.
- Previous experience in businesses with Inventory and/or e-commerce, preferred.
- Previous experience with sales tax, payroll tax, property tax, franchise tax, and federal tax a plus.
- Must be proficient with computers, including email, word processing, typing, spreadsheets, etc.
- Able to lift and carry up to 60 lbs on occasion
- May be subject to background check and/or drug test.
- Must be proficient in writing and speaking the English language.
- Excellent communication and interpersonal abilities to motivate teams and collaborate across departments.
- Ability to adapt quickly to changing priorities and maintain a positive attitude.
