Job Title: Administrative Accounting Assistant

Location: Charlotte, NC (Hybrid 50% in office)

Department: Finance / Administration

Employment Type: Full-Time

Salary Range: $45,000–$55,000 annually, depending on experience



Position Summary:

We are seeking a detail-oriented and reliable Administrative Accounting Assistant to support our finance and administrative operations. This role is responsible for managing credit card receipts, vendor setup, client invoicing, compliance filings, and general office support. The ideal candidate will be organized, communicative, and comfortable handling sensitive financial and legal documentation.



Key Responsibilities:

  • Code and audit corporate credit card receipts for accuracy and compliance.
  • Set up corporate accounts with vendors and maintain vendor records.
  • Collect W-9 forms and manage the annual 1099 reporting process.
  • Gather and enter ACH payment information for vendors securely.
  • Respond to past due invoice notifications and resolve payment issues.
  • Invoice clients monthly and ensure timely billing.
  • Track and submit state annual reports and maintain registered agent information.
  • Order and manage pantry/office supplies for the corporate office.
  • Perform general administrative duties to support office operations.
  • Communicate effectively with internal teams, vendors, and external agencies.



Qualifications:

  • Strong attention to detail and organizational skills.
  • Excellent written and verbal communication abilities.
  • Experience with accounting or expense management systems.
  • Familiarity with compliance filings and registered agent services is a plus.
  • Basic understanding of accounting principles and vendor compliance.
  • Proficiency in Microsoft Office Suite (especially Excel).
  • Experience with QuickBooks is a plus.
  • Ability to manage multiple tasks and prioritize effectively.
  • Discretion in handling sensitive financial and legal information.
  • Ability to work from the Charlotte office 40–50% of the time. Other locations may be considered for the right candidate.
