Responsibilities
- Greet visitors, clients, and staff with enthusiasm and professionalism, ensuring a warm and welcoming atmosphere
- Manage multi-line phone systems, directing calls accurately and courteously while maintaining excellent phone etiquette
- Handle front desk duties including scheduling appointments, managing calendars, and coordinating meetings using productivity software such as Microsoft Office and Google Workspace
- Perform data entry tasks with precision, maintaining accurate records for office management, filing systems, and client information
- Support administrative functions such as filing, proofreading documents, and managing correspondence to ensure smooth daily operations
- Assist with bookkeeping tasks using QuickBooks or similar accounting software to support financial recordkeeping
- Provide exceptional customer service by addressing inquiries promptly and efficiently while maintaining a professional demeanor
Qualifications
- Proven experience in office management or administrative roles with clerical experience in fast-paced environments
- Strong computer literacy including proficiency in Microsoft Office Suite (Word, Excel, Outlook), Google Workspace, and productivity software
- Excellent organizational skills with the ability to prioritize tasks effectively and manage time efficiently
- Demonstrated experience in customer service or front desk roles with strong phone etiquette skills
- Bilingual abilities are highly desirable to serve diverse client needs effectively
- Technical proficiency in handling multi-line phone systems, data entry, filing systems, and basic bookkeeping using QuickBooks or similar tools
- Previous experience as a dental or medical receptionist or personal assistant is advantageous but not required
Compensation
