Encore Parkside is seeking a highly organized and detail-oriented full time Business Office Manager (BOM) to oversee the financial and administrative operations in the community. The BOM plays a critical role in ensuring the accuracy of billing, collections, resident account management and compliance with financial and regulatory standards. This position collaborates closely with administration, residents, families, and external payers to support the facility's operational goals and ensure high levels of resident satisfaction.
Essential Job Functions:
- Serve as the facility's primary contact for residents, families, and responsible parties regarding billing questions, statements, and financial obligations.
- Attend and interact in community Table meetings to obtain knowledge about resident census activity (move-ins, move-outs, transfers and deaths).
- Acquire copies of Residency Agreements and Resident Handbook. Review and become knowledgeable with the community services provided.
- Verify eligibility for Medicare, Medicare Advantage, Medicaid and commercial payers as needed throughout stay.
- Process and deposit resident payments daily, manage resident ACH payments and send listing and backup to accounting department daily.
- Obtain ancillary resident charges from service points in the community (front desk, salon, dining room, etc.) and enter them timely nto PCC.
- When applicable, coordinate with government agencies to bill resident rent. Monitor and track amount owed.
- Prepare routine financial reports for the Administrator and leadership team.
- Publish and distribute rent increase notices.
- Review billing statements prior to distribution, including final accounting for residents upon death or move out.
- Run accounts receivable aging report weekly and make collection efforts on delinquent resident accounts.
- Supports creating a culture where the business decisions made in this position, along with individual employee engagement, drive top-line revenue and occupancy.
- Complete census with the appropriate payors and authorization numbers.
- Report any payor changes to the appropriate departments.
- Scan invoices received to AP Department for processing.
- Oversee all ongoing SNF Medicaid processes such as applications, redeterminations, 3654, verifications checklists and communication with state agencies with accurage and timely fillings and logs.
- Supervise Front Desk staff (two or more full time/equivalent receptionists and/or concierges). Carry out supervisory responsibilities in accordance with the organization's policies and applicable laws.
- Responsibilities may be modified or ezpanded based on facility needs and regulatory changes.
Requirements/Education:
- Minimum 2-3 years experience in a SNF Business Office Management.
- Strong understanding of SNF Medicaid, payer rules, redetermination, and regulatory documentation.
- Experience with PointClickCare (PCC) and Resident Fund Management Services (RFMS).
- Knowledge of insurance verification processes including but not limited to Medicare, Medicare Advantage and commercial insurance.
- Excellent communication and customer service skills.
- High Level of professionalism and confidentiality when handling sensitive financial information.
- Strong organizational skills with the ability to manage multiple priorities.
- Ability to work collaboratively with other departments, including but not limited to Admissions, Nursing, and Leadership teams.
- High level of proficiency with Microsoft Office Suite products.
- Ability to type 40 or more words per minute.
- Ability to prepare accurate and timely reports to meet required deadlines.
- Ability to serve as facility Manager on Duty on weekends/holidays as assigned
