What are the responsibilities and job description for the Business Development Coordinator position at Encore Electric Career Site?
Compensation for this role: $70,000 to $75,000 Depending on Experience
OVERVIEW:
The Business Development Coordinator takes accountability for keeping project development department organized and well run, ensuring new business development proposals are delivered on time and assisting in preparation for project interviews. Performs marketing functions for project development department.
General Responsibilities
• Maintain open communication lines with all working relationships
• Follow up to ensure items for which the job is accountable are performed
• Earn and maintain customer trust
• Uphold the core values of the organization
• Work well with others to accomplish the mission of the organization and of the job
Specific Responsibilities
Proposal & Cost Estimating Development Support
• Serve as administrative/tactical support for Estimating Manager, PCMs and AMs across whatever day-to-day needs arise in pursuit development — freeing up their time for relationship-building and hunting
• Assist with proposal assembly and formatting (leveraging the standardized JetBuilt-integrated templates above) so PCMs/AMs aren't doing manual layout work
• Support pulling together budgetary/rough-order-of-magnitude estimates on early-stage pursuits where a full estimator engagement isn't yet warranted
• Track proposal deadlines and submission requirements (RFP/RFQ compliance checklists, required forms, bonding/insurance docs) to keep pursuits from missing procedural cutoffs
• Coordinate document collection and formatting for qualifications packages and SOQ submittals
• Maintain a repository of past proposal language, scope narratives, and pricing assumptions that can be reused/adapted for new pursuits
• Provide general administrative backstop for PCMs/AMs — scheduling, meeting prep, follow-up tracking, CRM/pipeline data entry — as their first and most immediate area of support
Marketing & Collateral Development
• Develop and maintain a library of marketing collateral (capability sheets, case studies, proposal boilerplate) by audience: owners/DTO, GCs, consultants, manufacturer partners
• Collect and package "warrantied projects" collateral — turning completed/warrantied work into case studies and proof points that build credibility with owners and consultants
• Develop manufacturer/partner-facing language and materials designed to attract new partnerships (positioning Encore TS as a preferred integrator/VAR)
• Keep all materials on Encore brand standard (templates, decks, one-pagers, proposal inserts)
Market Awareness / Brand Visibility (the core strategic gap)
• Build a "who knows us" tracking effort — target list of owners, consultants, and GCs in the local market who are NOT yet aware TS exists, prioritized by relationship value
• Coordinate visibility tactics: local trade events, AIA/consultant lunch-and-learns, sponsorships, association memberships — anywhere Encore Electric already has presence that TS could piggyback on
• Partner with Electricals’ existing brand recognition/relationships to cross-introduce TS where it makes sense
Cold Outreach & Campaign Support
• Build and run cold marketing campaigns (email sequences, LinkedIn, targeted mailers) to generate top-of-funnel awareness and leads for PCMs/AMs
• Maintain and segment contact lists (owners, consultants, GCs, manufacturers)
• Track campaign performance and iterate
DTO Vendor Approval Support
• Manage the admin process of securing "approved vendor" status with target DTO/owner organizations (portals, compliance docs, insurance/bonding requirements)
• Track approval status/renewals across the DTO target list
Manufacturer & Distributor Relationship Management
• Track annual spend and rebate performance by manufacturer/distributor — own the reporting and flag opportunities to hit rebate tiers
• Research and identify new manufacturer partners aligned to the "all things technology" expansion (networking, power/PDUs, lighting control, BAS/BMS)
• Draft partnership pitch materials and manage outreach cadence to prospective partners
Proposal Template Development
• Build and maintain standardized proposal templates, integrated with JetBuilt so estimating output flows directly into a polished, branded proposal — reducing manual formatting time for PCMs/Estimators
• Own version control and updates as brand/legal/scope language changes
Long Term & possible gaps to consider:
• Win/loss tracking — a simple system to capture why pursuits are won or lost, which feeds back into both collateral and messaging
• Referral/testimonial program — formal process for requesting owner/GC testimonials off completed projects (pairs well with the warrantied-project collateral effort)
• CRM/pipeline hygiene — someone needs to own data quality in whatever system tracks contacts and pursuits (ties to the [[Single Source of Truth]] workbook you already maintain)
• Website/digital presence — if TS's visibility gap extends to a weak or nonexistent web presence, that's often the first thing outside prospects find (or don't)
• Internal awareness — sometimes the "nobody knows we exist" problem starts inside Encore itself (other divisions, PMs, field staff who could be referral sources)
• Competitive/market intelligence feed — formalizing what you're already tracking (Aptitude, CommScope/Amphenol, etc.) as an ongoing coordinator responsibility rather than something you do personally.
