Front Desk Lead – Full Time

Client Experience & Front of House Manager

We are seeking a highly organized, professional, and proactive Front Desk Lead to manage all front-of-house operations and ensure a seamless client experience. This role is essential to the daily success of the spa and plays a major role in client retention, sales, and business growth.

The Front Desk Lead will be responsible for managing the front desk, coordinating schedules, handling all client transactions, and helping grow the business through exceptional client service and strong knowledge of the spa’s offerings.

Key Responsibilities

Client Communication

  • Answer and manage all incoming phone calls professionally and efficiently
  • Respond to emails, voicemails, and client inquiries promptly
  • Provide detailed information about spa services, products, packages, and pricing
  • Maintain clear and friendly communication with all clients
  • Handle appointment confirmations, cancellations, and rescheduling

Appointment Scheduling

  • Manage the spa booking system and maintain an organized schedule
  • Book appointments strategically to maximize provider schedules and spa revenue
  • Ensure proper service timing and correct provider assignments
  • Maintain waitlists and actively fill open appointments

Front Desk Operations

  • Oversee all front-of-house responsibilities
  • Maintain a clean, welcoming, and professional reception area
  • Ensure client intake forms and paperwork are completed properly
  • Follow opening and closing procedures

Financial Responsibilities

  • Handle all client transactions including cash, credit cards, gift cards, and memberships
  • Count and balance the register daily
  • Track and distribute employee tips accurately
  • Maintain financial accuracy and report discrepancies immediately
  • The Front Desk Lead is responsible for handling all transactions and phone communication

Business Growth & Sales

  • Help grow the spa by promoting services, packages, and memberships
  • Educate clients about treatments and recommend services based on their needs
  • Promote retail products and encourage product sales
  • Help increase client retention through follow-ups and excellent service
  • Assist with promotions, events, and marketing efforts
  • Encourage rebooking and help maintain a full schedule
  • Manage Social Media and Online Growth

Team Coordination

  • Assist with managing the daily schedule for therapists and service providers
  • Communicate client requests or schedule adjustments with staff
  • Assist management with employee documentation and reviews
  • Help coordinate staff coverage when necessary

Administrative Duties

  • Maintain employee licensing records and ensure licenses remain current
  • Organize spa paperwork, consent forms, and internal documentation
  • Support employee reviews and internal reports
  • Ensure spa policies are followed

Product & Service Knowledge

  • Maintain expert knowledge of the spa menu, treatments, and products
  • Be able to confidently explain services and answer client questions
  • Recommend appropriate treatments and retail products
  • Educate clients on treatment benefits and aftercare

Spa Operations Support

  • Assist with retail and back-bar inventory tracking
  • Maintain organized retail displays
  • Support the spa team to ensure smooth daily operations
  • Maintain a calm, professional, and welcoming environment

Qualifications

  • Previous spa, hospitality, or front desk experience preferred
  • Strong organizational and multitasking abilities
  • Excellent customer service and phone communication skills
  • Ability to manage schedules and administrative tasks efficiently
  • Strong attention to detail with financial transactions
  • Professional appearance and demeanor
