Emran Law is seeking an experienced Firm Operations Manager to work directly with the Managing Attorney and help build structure, accountability, and operational consistency across a growing California law firm.
This is a hands-on role for someone who can walk into a fast-moving, imperfect, growing environment and create order. We are looking for someone who is extremely strong in structure, systems, accountability, follow-through, reporting, and day-to-day execution.
The right person does not need to be an attorney. Prior law firm or legal experience is preferred, but not required. What is required is proven experience in operations, overseeing teams, workflows, deadlines, systems, and cross-functional execution in a professional environment.
This is not a passive office manager role. We are looking for an operator who can build systems, enforce follow-through, improve processes, manage administrative workflows, and help ensure the firm runs with consistency.
RESPONSIBILITIES
- Own and improve the firm’s day-to-day operational structure across multiple practice areas, offices, and administrative functions. Work directly with the Managing Attorney to create, implement, and enforce systems that improve accountability, communication, follow-through, and firmwide execution.
- Build and manage the firm’s operating cadence, including weekly reports, staff check-ins, task follow-up, case status audits, intake updates, and administrative accountability.
- Design, document, and maintain internal SOPs, playbooks, templates, checklists, and workflows so that firm processes are clear, repeatable, and consistently followed.
- Own administrative workflow management, including task tracking, internal deadlines, staff assignments, follow-up systems, and escalation of issues before they become problems.
- Manage and improve the firm’s lead intake and follow-up process, including call/text/email follow-up standards, intake tracking, source tracking, assignment workflows, and conversion reporting.
- Create and maintain dashboards and reports that give leadership visibility into firm operations, including leads, signed matters, open/pending/closed cases, staff workload, overdue tasks, dormant files, bottlenecks, and operational risks.
- Oversee office operations for the firm’s locations, including vendor coordination, supplies, phone systems, mail routing, office logistics, onboarding/offboarding, and general administrative systems.
- Partner with attorneys, case managers, legal assistants, and administrative staff to improve internal handoffs, file organization, client communication standards, and case management discipline.
- Support and improve the use of firm technology systems, including case management platforms, Workspace, Slack, spreadsheets, phone systems, document systems, and other tools used to run the firm.
- Identify opportunities to automate, simplify, or improve manual workflows through better systems, technology, AI tools, templates, integrations, or process redesign.
- Help manage hiring, onboarding, training, and accountability for administrative and support roles.
- Ensure firmwide follow-through on recurring operational priorities, including case status audits, client portal checks, lead follow-up, mail processing, document routing, and internal reporting.
- Serve as a trusted operational partner to the Managing Attorney by identifying problems, proposing solutions, and driving projects to completion without needing step-by-step direction.
REQUIREMENTS
- 3 years of experience in operations management, office management, administrative management, legal operations, professional services management, or a comparable role with ownership of complex workflows.
- This is a non-attorney role.
- Proven ability to create structure in a fast-paced environment with multiple moving parts.
- Strong experience managing people, deadlines, projects, vendors, systems, and recurring operational processes.
- Exceptional follow-through and attention to detail.
- Ability to operate independently, prioritize effectively, and move work forward without constant direction.
- Strong written and verbal communication skills, including the ability to clearly document processes and communicate expectations to a team.
- Comfort holding people accountable in a professional, direct, and constructive manner.
- Strong organizational and reporting skills, including comfort with spreadsheets, dashboards, task trackers, and workflow tools.
- Ability to work across departments and practice areas while maintaining consistency and accountability.
- Comfort learning new systems quickly and improving how a team uses existing tools.
- Professional judgment, discretion, and ability to handle confidential information.
PREFERRED
- Law firm, legal operations, professional services, medical office, real estate, finance, startup, or high-volume service business experience.
- Experience creating SOPs, training materials, dashboards, checklists, or internal operating systems.
- Experience managing intake, client service, administrative staff, vendor relationships, or multi-office operations.
- Experience improving workflows through automation, AI tools, integrations, or process redesign.

COMPENSATION
Compensation range: $80,000–$110,000 annually, depending on background, experience, and qualifications. Benefits include:

Final compensation will be based on relevant operations experience, management experience, law firm or professional services background, and demonstrated ability to build systems and drive accountability.
