JOB DESCRIPTION

POSITION TITLE: Administrative Specialist - Medical Billing

REPORTS TO: Administrative Director

POSITIONS SUPERVISED: None

FLSA STATUS: Non-exempt

SCHEDULE: Monday-Friday; 8:00am-4:00pm

PURPOSE: The Administrative Specialist’s primary responsibility is to provide clerical services with a focus on medical billing.

COMPETENCIES (KNOWLEDGE, SKILLS, AND EXPERIENCE):

  • Ability to organize and prioritize assignments, multi task with accurate focus and refocus in a fast paced environment.
  • Intermediate proficiency in computer programs, but not limited to, Google Docs, Google Sheets, and office specific programs.
  • Hold as confidential all aspects of the job.
  • Ability to deliver excellent customer service, externally and internally.
  • Ability to define and solve problems, collect data, accurately enter data; establish facts, draw valid conclusions using judgment, and analytical skills.
  • Ability to communicate effectively with internal and external customers, both orally and writing

POSITION ROLES, DUTIES AND RESPONSIBILITIES:

Quality and Accountability

  • Provides general administrative and clerical support with a focus on medical billing.
  • Performs data entry with accuracy.
  • Performs quality/correctness audit of billing batches.
  • Attends meetings, staff development, education and trainings as necessary.
  • Maintains a neat, clean, and organized office space.

Communication

  • Coordinates communication within organization.
  • Professionally communicates with internal and external customers.
  • Greets incoming clients (via phone or in person).
  • Answers phone and directs calls.
  • Interacts with payers to troubleshoot denied claims, etc.
  • Initiates communication with supervisor as needed.

Job Knowledge & Problem Solving

  • Applies critical thinking and uses sound judgment effectively to perform job tasks.
  • Completes weekly batch billing to insurance company and Medicaid.
  • Post payments received.
  • Troubleshoots billing issues.
  • Updates and monitors client ECR system; makes eligibility calls to insurance company and provides follow up and assistance with families.
  • Performs monthly Medicaid eligibility checks.
  • Assist in the credentialing process.
  • Processes paperwork for clients efficiently and in accordance with protocols.
  • Maintains and updates department or company spreadsheets.
  • Processes paperwork efficiently and in accordance with protocols.
  • Prepares emails, letters, documents, reports, etc.

Compliance

  • Maintains files according to regulatory agencies.
  • Follows all company and department policy and procedures.
  • Performs data analysis as requested.
  • Performs audits of billing data to ensure compliance with payer requirements
  • Maintains client confidentiality of protected information during employment and post-employment.
  • Follows state, federal, and local law, and all other policies and procedures that do not fall under the above responsibilities.

Teamwork & Cooperation

  • Suggests and implements improvements to administrative functions.
  • Receives and works toward goals developed in collaboration with supervisor.
  • Demonstrates reliable and predictable attendance and punctuality; does not negatively impact the client, department or co-workers.
  • Performs any other reasonable duties as required.

PHYSICAL EFFORT AND WORK ENVIRONMENT
Physical Requirements: The physical requirements of the position are identified as moderate physical activity which may require the lifting of up to twenty (20) pounds occasionally.

Physical Activity: Individual performs the following physical activities: manual dexterity, climbing, balancing, stooping, kneeling, crouching, reaching, lifting, grasping, feeling, talking, hearing and moving around.

Visual Activity: Individual performs work where objects being viewed and interactions with others are both close to the eyes and beyond arms reach.

Job Location: Individual primarily works inside and is not exposed to adverse environmental conditions.

Contact with Others: Individual has contact with co-workers, employees, clients, and other stakeholders.
