As the Business Office Coordinator, our client seeks a highly organized, smart, and detail-oriented administrative professional to support their growing financial planning practice. This position plays a crucial role in maintaining operational efficiency, delivering outstanding client service, and ensuring timely and accurate task completion. This role requires a teachable individual who possesses a high sense of urgency and the ability to respond flexibly to tasks as needed.
Key Responsibilities:
- Track and manage multiple workflows simultaneously
- Follow standardized processes and ensure documentation accuracy
- Provide professional, responsive client services
- Maintain strict confidentiality of sensitive client information at all times
- Document workflows and enhance operational systems

Responsibilities Overview:
Client Communication & Scheduling
- Answering phones
- Greeting clients
- Maintaining the advisor's calendar
Account Servicing
- Preparing, reviewing, and processing new account applications
- Accounts Receivable & Accounts Payable as assigned
- Managing transfers and transactions
Administrative Support
- Overseeing office supplies
- Mailing correspondence
- Keeping client records up to date
Office Operations:
- Open and close the office.
- Managing suite relationships with professionals who rent offices in our suite, and ensuring the facility runs smoothly.
Compliance & Compliance Monitoring
- Ensuring all paperwork complies with regulatory standards.
- Attention to Detail: Skilled in managing, organizing, and maintaining accuracy in sensitive, paperwork-intensive settings.
Tech & Client Support
- Technology Proficiency: Familiarity with CRM systems and Microsoft Office Suite.
- Communication: Strong verbal and written abilities for engaging with clients of every financial background, from mid-net-worth clients to high-net-worth clients.
Required Skills & Attributes:
- Education: High school diploma, college degree preferred
- Experience: Minimum of 2–4 years of experience in an administrative, lite bookkeeping, or similar office environment.
- Computer Proficiency: Proficiency in office software is essential, including strong skills in the Microsoft Office Suite (Word, Excel, Outlook), Google Suite, and accounting software such as QuickBooks.

- Job Type: W2
- Location - Chandler Office: On-Site Monday-Thursday and Remotely Friday if you have a home office setup
- Compensation: $48K - $50K annually DOE
- Bonus: $1,000 Quarterly can be earned
- 1-Week vacation annually
