Job Description
- Monitor the shared association support email accounts and route inquiries to the appropriate parties.
- Receive, scan, organize, and store: mail, invoices, permits, bids, contracts, operational documents.
- Organize, digitize, and maintain association records and electronic filing systems.
- Develop and continuously improve systems, processes, and record-keeping practices that enhance organizational efficiency, transparency, and continuity.
- Maintain vendor information, contract tracking logs, renewal schedules, and procurement records.
- Assist in organizing project files, permits, bids, proposals, and supporting documentation for Board review.
- Track key dates, deadlines, and document requirements related to operational and capital projects.
- Maintain Board action item logs, decision tracking records, and project status documentation.
- Other duties as assigned.
- Proficiency with Microsoft Office, Google Workspace, and digital document management.
- Strong organizational and administrative skills, attention to detail.
- Demonstrated ability to manage records, documentation, and multiple priorities.
- Ability to work independently, maintain confidentiality, and follow established procedures.
- Excellent written and oral communication, sense of ownership for work, and high-quality outputs.
