Employees First Labor Law is seeking a driven and personable Intake Coordinator to join our growing team. This position is ideal for someone with strong interpersonal and persuasive communication skills who can build rapport with potential clients, guide them through the intake process, and confidently secure client sign-ups for our firm.
This role is part client relations, part sales, and part case support — perfect for someone who enjoys helping others while contributing to the firm’s success.
Position Responsibilities
Client Engagement & Conversion
- Serve as the first point of contact for potential clients—creating a positive and professional first impression.
- Confidently explain the firm’s services and value, helping potential clients understand their legal options.
- Persuasively and ethically guide prospective clients through the intake process and secure signed agreements.
- Build rapport and trust quickly through empathy, clear communication, and professionalism.
Follow-Up & Relationship Management
- Maintain consistent follow-up with potential clients to ensure timely completion of intakes and signed contracts.
- Track all communications, ensuring no lead or inquiry is overlooked.
- Keep detailed notes and client information in the firm’s database to support smooth case handoffs.
Pre-Litigation Support
- Assist attorneys and case managers with preliminary claim evaluations and information gathering.
- Support preparation of pre-litigation settlement demands, including organizing client statements, documentation, and evidence.
- Coordinate with attorneys to ensure all necessary client information is collected and accurate.
Team Collaboration
- Work closely with attorneys, legal assistants, and other intake staff to ensure a seamless transition from intake to case handling.
- Participate in strategy sessions and team meetings to improve client conversion and retention processes.
Position Requirements
- Previous experience in intake, client relations, sales, or customer service (experience in a law firm or legal setting preferred).
- Confident and persuasive communicator with exceptional interpersonal skills.
- Ability to handle objections and secure commitments in a professional and ethical manner.
- Highly organized with excellent attention to detail and follow-through.
- Self-motivated, with the ability to work independently while contributing to a team environment.
- Proficiency in Microsoft Office (Word, Excel, PowerPoint) and Adobe Acrobat; experience with CRM or case management systems is a plus.
- Strong verbal and written communication skills.
- Spanish-speaking ability strongly preferred but not required.
- Professional demeanor with a warm, empathetic personality that builds client trust.
