We are seeking a detail-oriented and experienced Employee Benefits Compliance Manager to join our dynamic team.
Position Overview:
The Compliance Manager will serve as a subject matter expert on health and welfare plan compliance, responsible for managing regulatory documentation, vendor and client communications, and ensuring the successful execution of key compliance deliverables. This role plays a critical part in maintaining the integrity of our services and keeping our clients informed, prepared, and protected.
Key Responsibilities:
Client & Vendor Communication:
- Draft and send introductory compliance emails to new clients
- Maintain and update vendor portals with accurate contact and address information
- Manage distribution lists: add, delete, or revise contacts as needed
- Coordinate and disseminate monthly compliance and HR newsletters (via Mailchimp), including branding with internal stakeholders.
- Pull white papers and communication assets from externals sources and distribute/post appropriately
Plan Compliance & Documentation:
- Perform annual audits of client health plans
- Research compliance concerns, verify accuracy, and educate both clients and internal EBI teams
- Develop and deliver ERISA SPD Wrap and Plan Documents; educate clients on required distribution and posting procedures
- Complete annual compliance worksheets, collect schedules, and coordinate with vendors and carriers
- Generate client-specific compliance notices based on plan design, size, and funding
Technical Compliance Support:
- Conduct Non-Discrimination Testing (NDT): set up templates, assist clients, troubleshoot failures
- Manage EE Navigators ACA Filing Dashboard: audit, correct, and educate on filings and rejections
- Support clients in affordability testing and contribution strategy
- Assist with GAG Attestation reporting: guide clients through CMS portal submissions
- Guide clients and carriers through CMS Disclosure filings and attestations
Client Education & Support:
- Create Brainshark training modules for all clients
- Assist with appeals, claims denials, and other escalated benefit issues
- Stay current with compliance regulations; educate team and develop outbound client communications
- Serve as a backup presenter during Open Enrollment meetings
- Provide daily support on compliance, benefits, contracts, and policy research
Qualifications:
- Bachelor's degree in Human Resources, Business, Healthcare Administration, or related field (or equivalent experience)
- 3 years in employee benefits compliance or a similar role
- In-depth knowledge of ERISA, ACA, CMS, and HIPAA compliance
- Experience with benefits platforms (e.g., Mailchimp, Brainshark, vendor/carrier portals)
- Exceptional attention to detail and organizational skills
- Strong communication and client-service orientation
- Ability to educate
- clients and internal stakeholders on complex topics
