What are the responsibilities and job description for the Customer Service Representative - Shipping and Receiving position at Empire Workforce Solutions?
We're currently looking for a Customer Service Representative for our Hayward location. In this role, you will be responsible for responding to customer inquiries, processing orders, and handling customer concerns in a professional, courteous, and timely manner. Additional duties include answering phone calls, greeting visitors, scheduling appointments, and performing general clerical and administrative tasks as needed.
Pay rate: $19.25 - $19.25
Schedule: Monday to Friday.
Shift: 8 AM to 4:30 PM (overtime when needed)
Main Responsibilities-
Daily email communication with assigned customers or facility customers
Schedule appointments in online scheduling system
Create/Process and input all customer orders received by email or EDI
Check all customer orders for accuracy and any special requirements
Create work orders for all special requirements and submit them to the warehouse
Communicate all customer requests directly to supervisor and warehouse supervisor as required
Create inbounds in the WMS and manage closing inbounds in a timely manner
Communicate any inbound discrepancies to the appropriate warehouse staff for verification
Communicate any inbound discrepancies to the appropriate customer once verified by Prism staff
Invoice individual inbounds and check for accuracy
File inbounds in appropriate file folders and file cabinets
Log/Update all outbound charges/charge types in the pallet exchange (WMS)
File outbounds in the appropriate file folders and file cabinets
Bill work orders on a daily basis
Month End billing for assigned customers that takes place the last working day of every month (overtime may be required for this day)
Occasional Duties:
Cover Shipping/Receiving for lunch/breaks or peak times:
Check in/out drivers for inbound and outbound shipments using scheduling app and WMS
Assist drivers with dock scheduling app
Communicate driver arrivals to warehouse (customer name, load type)
Manage dock door assignments and monitor dwell times
Count inbound trailers and record on BOLs, noting damages and signing paperwork
Verify seals on inbound trailers/containers
Take photos of inbound trailers using tablet
Seal outbound trucks
Check and respond to emails as needed
Verify outbound driver info (PO/pickup #, trailer #, destination) before check-out
Ensure correct BOLs are issued to all outbound drivers
Requiremenrts:
Customer service experience (min 6 months)
