Empire Building Diagnostics is looking for an Administrative Assistant to join our growing team in Albany. This position would have split duties between estimating and administrative duties as follows:
Estimating Responsibilities (10% of Time):
- Obtain project drawings both digitally and in paper form.
- Read and understand job bid instructions and detailed specifications.
- Research documents for job details
- Assist management in preparation of cost estimates including but not limited to: labor, materials, equipment costs.
- Prepare and maintain estimating schedule and other deadlines.
- Enter, print and send proposals to customers and do follow-up activities shortly thereafter.
- Participate in weekly bid follow-up meetings and give input on the follow-up steps that have been taken on the bids. staff.
- Other duties as assigned.
Warehouse Responsibilities (20% of Time)
· Order materials from internal and external sources
- Add materials to stock including operation of forklift
- Track tools and small equipment and send out for repair.
- Work with truck drivers to stage job orders
- Load and unload job orders and returns
- Support management with data entry and reporting
- Send correspondence to vendors and other offices to track orders
- Be responsible for warehouse and equipment cleanliness
- Other duties as assigned
Administrative Responsibilities (70% of Time) :
- Open and lock up the office each day.
- Support management with data entry and reporting
- Send correspondence to customers and employees
- Assist with new employee on-boarding and associated paperwork
- Setting up new jobs in the computer system
- Prepare weekly project schedules and distribute them prior to Tuesdays and Thursday meetings
- Track vehicle registrations and equipment preventative maintenance
- Other duties as assigned
Requirements:
· Effective multi-tasker
· Self-motivated
· Strong communication skills
· Must have great accuracy and attention to detail.
- Strong computer skills: including Microsoft Office (especially Excel)and network/cloud storage locations .
- Work with database application forms to enter bid details and print proposals
- A satisfactory combination of education and experience.
- Some experience in the construction industry or field preferred.
- Reliable transportation and a driver's license are required
