Duties
- Serve as the primary point of contact at the front desk, greeting visitors and managing multi-line phone systems with professionalism and courtesy
- Handle all incoming calls, directing inquiries efficiently using excellent phone etiquette and bilingual communication skills
- Manage calendar scheduling, appointment setting, and coordinate meetings for team members using Microsoft Office and Google Workspace tools
- Perform data entry, filing, and document proofreading to maintain accurate records and ensure document integrity
- Support office management tasks such as inventory tracking, supply ordering, and maintaining organized filing systems
- Assist with bookkeeping activities including basic QuickBooks entries and expense tracking
- Provide customer support via phone or email, addressing inquiries promptly and professionally while maintaining a positive customer experience
Experience
- Previous office experience or clerical background with demonstrated organizational skills
- Bilingual proficiency in Chinese and English is essential for effective communication across diverse audiences
- Familiarity with office management software such as Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace (Docs, Sheets, Calendar)
- Experience handling multi-line phone systems and practicing professional phone etiquette
- Knowledge of data entry, filing procedures, proofreading, and basic bookkeeping (QuickBooks preferred)
- Strong time management skills with the ability to prioritize tasks efficiently in a busy environment
- Personal assistant or medical/dental receptionist experience is a plus but not required; relevant administrative or clerical experience is highly valued
