Workforce Scheduling Lead (Healthcare)

Position Overview
We are seeking an experienced Workforce Scheduling Lead to oversee and optimize clinical and/or non-clinical staff scheduling across a multi-location healthcare organization. This role plays a critical part in ensuring safe staffing levels, continuity of care, regulatory compliance, and operational efficiency across all sites.
The ideal candidate brings strong healthcare operations experience, excels in managing complex schedules at scale, and is comfortable balancing patient care needs, staff well-being, and organizational standards.
Key Responsibilities
Enterprise Healthcare Scheduling
- Lead the development, maintenance, and publication of workforce schedules across multiple healthcare locations.
- Ensure appropriate staffing coverage by role, license, credential, and skill mix to support patient care and operational requirements.
- Proactively address call-outs, PTO requests, leaves, and urgent coverage needs to maintain uninterrupted services.
Workforce Planning & Optimization
- Forecast staffing needs using patient volume trends, historical utilization, acuity levels, and seasonality.
- Optimize schedules to reduce overtime, agency usage, burnout, and last-minute changes while maintaining quality of care.
- Partner with operations and clinical leadership to align staffing models with care delivery and budget goals.
Compliance & Risk Management
- Ensure schedules comply with organizational policies, labor laws, union agreements (if applicable), and healthcare regulations.
- Monitor rules related to hours worked, rest periods, licensure coverage, and overtime approvals.
- Serve as the escalation point for scheduling conflicts and policy exceptions.
Collaboration & Communication
- Work closely with site leaders, clinical managers, and HR to understand local needs while enforcing enterprise scheduling standards.
- Communicate schedules, changes, and expectations clearly and consistently.
- Support leaders with staffing insights and recommendations during high-volume or high-acuity periods.
Systems, Data & Reporting
- Maintain scheduling and workforce management systems, ensuring accuracy of staff profiles, credentials, availability, and rules.
- Produce reports on coverage, vacancies, overtime, schedule stability, and staffing trends.
- Use data to identify opportunities for improvement and standardization across locations.
Leadership & Process Improvement
- Lead and mentor centralized schedulers or scheduling coordinators (if applicable).
- Develop and document scheduling workflows, templates, and best practices.
- Support onboarding and training related to scheduling processes and tools.
Qualifications
Required
- 3 years of experience in healthcare workforce scheduling, operations coordination, or workforce planning.
- Experience managing complex, multi-site schedules in a healthcare environment.
- Strong understanding of healthcare staffing requirements, credentialing considerations, and coverage models.
- Proficiency with scheduling or workforce management systems and Microsoft 365.
- Excellent organizational, communication, and problem-solving skills.
Preferred
- Experience supporting clinics, outpatient practices, hospitals, or multi-facility healthcare organizations.
- Familiarity with workforce platforms such as UKG/Kronos, Shift board, When I Work, Deputy, ADP WFM, or similar.
- Experience leading or coordinating centralized scheduling teams.
- Knowledge of healthcare labor compliance and best practices.
