With offices across North Carolina, our Shipyard office is currently looking for a Patient Support Supervisor who is ready to make a difference. This position will require travel to our other offices within the Coastal region. The Patient Support Supervisor is responsible for the supervision of the Patient Support staff at all office locations. They are responsible for maintaining a patient-friendly customer service environment and timely patient flow to the clinical department.

Qualifications and Experience

  • High school diploma or equivalent required
  • College degree or comparable work experience in business/medical office administration or a related field preferred
  • At least two to three years of experience in business/medical office administration
  • Previous experience supervising others required, preferably in the medical industry
  • Advanced working knowledge and experience with Microsoft Office 365. Highly proficient in Word, Excel, and PowerPoint
  • Effective verbal and written communication skills, interpersonal skills, organizational skills, time management skills, and accurate typing and data entry skills
  • Ability to maintain strong relationships with physicians, employees, employers, insurance representatives, and patients

Responsibilities include but are not limited to

  • Plans and directs the daily activities of staff and adjusts work assignments as needed
  • Responsible for the supervision of department staff including performance review, disciplinary/performance improvement actions, selection and training of new staff, ongoing coaching, and training of current staff
  • Oversee staff work schedules and job assignments for all office locations
  • Coordinates all management-approved time off requests for staff to ensure that there is proper coverage throughout the department
  • Arrange and coordinate training and cross-training of job duties for department staff
  • Collaborates with clinical management team members to plan and execute process changes that improve patient care services and management
  • Assist with the development, implementation, and revision of department policies and procedures
  • Maintaining an effective system to monitor compliance with EMR data entry
  • Development and maintenance of forms for the collection of patient information
  • Oversees close-of-the-day activities. Prepares daily bank deposit slips and reconciles the receipt/charge summaries and/or other reports provided by the front desk
  • Directs implementation of software programs related to departmental operations
  • Supervises department staff to include interviews, new hire selection, onboarding, and off-boarding
  • Provides timely follow-up to patient questions/concerns and maintains a record of communication and completion
  • Initiates quality assurance measures for purposes of meeting departmental standards
  • Participates in meetings for quality improvements and patient satisfaction

Other

  • Follows all applicable department and practice policies and procedures
  • Participates in professional development activities and maintains professional affiliations
  • Maintains patient confidentiality; complies with HIPAA privacy and confidentiality guidelines established by the practice
  • Maintains detailed knowledge of practice management and other computer software as it relates to job functions
  • Participates in committee meetings to facilitate system changes
  • Attends all regular meetings
  • Maintains compliance with continuing education requirements to maintain current certifications, licensure, etc.
  • Performs other duties as required and assigned by the Manager, including schedule changes and travel to office locations as assigned
