With offices across North Carolina, our Coastal Region is currently seeking an Associate Director of Administrative Services to join their team. The Associate Director of Administrative Services plays a critical leadership role in overseeing and optimizing the daily operations of key administrative departments within the orthopedic practice, including reception, medical records, authorizations, and scheduling. This position ensures operational excellence, regulatory compliance, and high-quality patient service delivery while supporting strategic goals and collaborating with clinical and administrative leadership.
Qualifications and Experience
- Bachelor’s degree in healthcare administration, business, or related field (Master’s preferred).
- Minimum 5 years of experience in medical practice management or administrative operations.
- Strong knowledge of medical practice billing and compliance, familiarity with medical policy guidelines as well as HIPAA.
- Proficient in documentation, computer systems, electronic health records, and practice management.
- Proficient in Microsoft 365, with advanced knowledge of Excel
- Strong skills in communicating and interacting with physicians, patients, and staff
- Ability to manage multiple departments and drive continuous improvement.
- Ability to exercise initiative, problem-solving and decision-making to effectively plan, prioritize and complete projects/tasks in a fast-paced, changing environment
Responsibilities include but are not limited to
- Oversees operations within the departments assigned
- Manages and evaluates department supervisory staff and managers
- Sets goals and objectives for assigned departments, assigns priority and timelines for department initiatives
- Develops policies and procedures consistent with sound medical and business practice as required by regulatory agencies
- Sets, manages and implements customer service and communication standards in all departments
- Monitors available reports to assess performance within departments
- Assures compliance with regulatory, insurance, and ethical standards regarding the safety of patients, employees, and property
- Identifies opportunities for improvement in revenue capture and cost reduction
- Evaluates existing technologies and tools, identifies opportunities for improved efficiency
- Responsible for project management/implementation of new software and technology in applicable departments
- Works collaboratively with other leaders across the region, partnering Associate Director of Clinical Operations to ensure alignment and coordination
- Performs other duties as required and assigned by Manager, including schedule changes and travel to office locations ats assigned
