We are seeking an experienced, highly organized, and energetic Training & Conference Coordinator to manage and execute physician training programs, educational conferences, workshops, and industry events hosted at our state-of-the-art Gulf Coast Biologics Training Center in Fort Myers, Florida.

Position Overview
The Training & Conference Coordinator will oversee the planning, organization, execution, and continuous improvement of all educational programs conducted through Gulf Coast Biologics. This individual will coordinate physician faculty, attendees, vendors, logistics, audiovisual requirements, educational materials, accreditation support, and event operations to ensure world-class educational experiences.
The successful candidate will possess exceptional organizational skills, outstanding interpersonal abilities, meticulous attention to detail, and a passion for delivering high-quality educational events.
Primary Responsibilities
Educational Program & Conference Management
- Coordinate all aspects of physician training courses, workshops, conferences, and educational symposiums.
- Develop detailed event timelines, agendas, schedules, and operational workflows.
- Manage course registrations, attendee communications, confirmations, and post-course follow-up.
- Coordinate live patient demonstrations, cadaver labs, ultrasound workshops, and procedural training sessions.
- Support continuing medical education (CME) programming requirements when applicable.
- Ensure all educational events are delivered on time, within budget, and according to company standards.
Faculty & Speaker Coordination
- Serve as the primary liaison for physician faculty, guest speakers, and scientific presenters.
- Coordinate faculty travel, accommodations, itineraries, honoraria, and presentation materials.
- Assist faculty with educational content preparation and presentation logistics.
- Maintain ongoing relationships with key opinion leaders and physician educators.
Event Operations & Logistics
- Coordinate venue preparation, room setup, audiovisual equipment, catering, transportation, and hospitality services.
- Manage vendor relationships and negotiate event-related services.
- Oversee inventory and preparation of training materials, procedural supplies, biologic kits, and educational equipment.
- Coordinate onsite event execution and troubleshoot operational issues in real time.
Marketing & Communications Support
- Collaborate with marketing teams to promote educational programs and conferences.
- Assist with event registration websites, educational materials, presentations, email campaigns, and attendee communications.
- Support post-event surveys, outcome reporting, and program analytics.
Administrative & Reporting Responsibilities
- Maintain training calendars, budgets, registration records, and educational databases.
- Prepare reports regarding attendance, educational outcomes, and event performance metrics.
- Assist with development and implementation of new educational initiatives and physician training programs.
Qualifications
Required Qualifications
- Bachelor's degree in business, communications, healthcare administration, hospitality, education, event management, or related field.
- Minimum of 3 years of experience coordinating professional meetings, medical education programs, conferences, or corporate events.
- Exceptional organizational, project management, and multitasking abilities.
- Strong written and verbal communication skills.
- Proficiency with Microsoft Office Suite and event management software platforms.
- Ability to work independently while managing multiple simultaneous projects.
Preferred Qualifications
- Experience coordinating physician education programs, medical conferences, or healthcare events.
- Familiarity with CME programs and continuing medical education environments.
- Experience working with healthcare professionals, medical device companies, or biotechnology organizations.
- Knowledge of audiovisual presentation systems and webinar platforms.
- Experience with CRM systems, registration platforms, and learning management systems.
