Embry Merritt Womack Nance, PLLC is seeking a highly organized and detail-oriented Administrative Operations Coordinator to support the firm’s human resources and administrative functions. This role is ideal for someone who thrives in a fast-paced professional environment and enjoys balancing people-focused responsibilities with operational support.
The Administrative Operations Coordinator plays a key role in recruitment, onboarding, employee relations, HR compliance, and office systems coordination. This individual will serve as a primary point of contact for routine employee inquiries while ensuring smooth day-to-day administrative operations.
- Serve as a first point of contact for employee questions and workplace concerns
- Assist in communicating and enforcing firm policies and procedures
- Support documentation for employee discipline and performance matters
- Maintain strict confidentiality with sensitive personnel information
- Screen resumes and employment applications
- Schedule and assist with initial candidate interviews
- Coordinate interview logistics with firm leadership
- Manage candidate communications and recruitment documentation
- Prepare new hire paperwork and onboarding materials
- Coordinate employee benefits enrollment and track deadlines
- Support employee orientation and training documentation
- Maintain and update internal training resources
- Track PTO, leave balances, and payroll-related data
- Maintain accurate employee personnel files and HR records
- Assist with payroll coordination, including bi-weekly approvals
- Monitor updates to employment laws and HR regulations
- Assist with maintaining compliance documentation and records
- Coordinate employee technology purchases and setup
- Assist with onboarding-related tech setup (equipment, access, etc.)
- Provide basic troubleshooting support alongside IT
- Track software subscriptions and coordinate vendor support
- Maintain organized HR and administrative records
- Assist with internal reporting and documentation
- Support firm-wide administrative initiatives as assigned
- Associate’s or Bachelor’s degree in Human Resources, Business Administration, or related field preferred
- Prior experience in administrative, HR, or office operations roles preferred
- Strong organizational, communication, and multitasking skills
- Ability to handle confidential information with professionalism and discretion
- Proficiency in Microsoft Office or similar systems; ability to learn HR platforms
- Comfort with basic technology troubleshooting
