The Opportunity

The Executive Assistant and Operations Manager serves in a dual-capacity role, providing high-level executive support to the leadership team and board while managing the physical operations of the organization. This position combines the strategic coordination and relationship management of an executive assistant with the systems, processes, and office management responsibilities of an operations manager. Reporting to the President, this role provides direct exposure to executive leadership and board governance in a new, mission-driven educational institution.

The ideal candidate can thrive in a dynamic start-up environment, consistently find ways to make positive contributions, and ‘dive for the ball’ when needed. This position is an on-site role based in Jackson, WY.

Key Responsibilities

Executive and Board Support

  • Coordinate meetings and support scheduling for executive team, organizing and maintaining agendas, reports, and minutes
  • Arrange travel itineraries for executives and board members, including flights, accommodations, ground transportation, and detailed trip itineraries
  • Coordinate all Board of Trustees meetings, including scheduling, venue selection, and comprehensive logistics management
  • Distribute board materials and post-meeting documentation, maintaining board records
  • Coordinate and manage all accreditation and compliance site visits, including travel logistics, scheduling, meeting coordination, preparation of materials, and on-site support in collaboration with internal and external stakeholders.
  • Oversee the coordination, submission, and tracking of all accreditation and compliance reports, maintaining comprehensive institutional records and documentation in close collaboration with the leadership team to ensure accuracy, timeliness, and regulatory alignment.
  • Additional duties as assigned, which could include various administrative tasks, and tracking partnerships and strategic relationships.

Operations

  • Provide project management support for strategic initiatives and special projects
  • Conduct research and compile data as required to support decision-making processes
  • Assist with preparation of presentations, reports, and communications materials
  • Manage user access credentials and permissions for various business systems, coordinating with external IT support for more technical issues as needed
  • Maintain professional office environment during standard business hours, serving as primary point of contact for office visitors
  • Coordinate all office maintenance, supplies, repairs, and vendor relationships
  • Manage incoming and outgoing mail, packages, and correspondence
  • Organize company events, team meetings, and office functions
  • Support accreditor and regulatory correspondence, ensuring timely filing of required reports and documents

Required

Qualifications & Experience

  • Must have a minimum of 5 years’ experience in executive administrative support, office management, or operations/project management
  • Bachelor’s degree preferred, or equivalent professional experience (minimum 5 years)
  • Exceptional organizational skills and attention to detail
  • Strong written and verbal communication skills
  • Proficiency in Google Workspace, Slack, Microsoft Office Suite, and similar programs
  • Ability to handle confidential information with discretion and professionalism
  • Demonstrated ability to prioritize competing demands and work independently
  • Professional demeanor with strong interpersonal skills
  • Flexibility to adapt to changing priorities and last-minute requests
  • Comfort with both strategic planning support and tactical execution of administrative and operational tasks

Preferred

  • Prior non-profit, higher education experience

Note: This is an individual contributor role without direct reports.

Physical Requirements

  • Ability to work independently in the office full-time in Jackson, WY during standard business hours
  • Occasional early morning or evening availability for board meetings or executive travel coordination
  • Ability to lift up to 20 pounds for office supply management and meeting setup

Salary Range

$60-75k annual base compensation. This role is structured as a full-time independent contractor engagement, not a traditional employee position. As an independent contractor, you will be responsible for your own taxes, benefits, and work equipment. Compensation packages are tailored to individual experience levels, relevant expertise, and may account for geographic cost-of-labor considerations.

Salary : $60,000 - $75,000
