Job Overview
The Customer Service Representative / Dispatcher is responsible for supporting a fast-paced organization. Duties include serving as the main point of contact for customer requests, preparing accurate and efficient daily routes for drivers, coordinating the start and stop of services, contacting customers to collect payments, and a variety of other administrative tasks. This role is crucial in maintaining smooth operations and ensuring a positive customer and employee experience.
Responsibilities
· Manage incoming communication from customers by continuously monitoring multiple email addresses, voicemails, and text messages
· Set up new recurring service customers
- Ensure request is within the current service area
- Accurately and thoroughly input customer into billing/routing system
- Pro-rate and take first month's service fee
- Effectively add the customer to a current route, maintaining route efficiency
- Email new service letter to customer with account and service details
· Schedule temporary rentals using rental service software, with accurate and thorough intake to ensure proper service and billing
· Prioritize response to customer inquiries and service issues, based on multiple factors
· Contact customers to resolve overdue balances
· Prepare daily route sheets for drivers, ensuring the efficiency of routes
· Promptly escalate issues with irate customers to management
· Assist with mailing monthly invoices
· Assist in maintaining a clean and tidy office
· Enter timely and detailed notes on customer accounts, including notes provided by drivers
· Communicate effectively with drivers, customers and team
Qualifications
· College degree preferred; high school diploma/GED may be considered with sufficient and relevant work experience
· Proven excellent customer service skills
· Proven ability to effectively communicate via the phone, text, and email.
· Microsoft Word, Excel, and Outlook proficiency
· Experience with software systems, particularly billing and scheduling/routing
· Meticulous organization, documentation and data-entry
· Basic math skills
· Authorized to work in the U.S.
