POSITION SUMMARY:
As an Operations Specialist, you will function at an HQ level while supporting Centralized Operations. This position will have a heavy focus on maintaining the departments operations, administrative, and quality assurance sectors, including but not limited to leasing and collections. These assignments will vary by location, asset types, and teams across our nationwide portfolios. The Operations Associate will effectively direct and coordinate the departments overall operational and administrative activities.

ESSENTIAL JOB FUNCTIONS:
- Conduct regular audits of centralized leasing and collections workflows to evaluate file movement, response timeliness, documentation accuracy, and adherence to established processes and policies.
- Prepare and deliver regular operational reports, summaries, and findings to centralized leadership to support decision-making and performance management.
- Serve as a centralized operations resource to help resolve workflow issues, answer process-related questions, facilitate administrative support, and support consistent execution across the department.
- Demonstrate a positive, professional, and solutions-oriented approach when working with internal stakeholders, producing clear written assessments, findings, and recommendations based on audit results.
- Synthesize audit findings and operational data into clear, actionable insights and present recommendations to centralized leadership to drive informed decision-making.
- Partner closely with Leasing, Collections, and Compliance leadership to ensure corrections, escalations, and process adjustments are resolved within established service-level expectations.
- Develop and deliver recurring operational health reports, dashboards, or summaries that highlight trends, risks, and improvement opportunities across leasing and collections functions.
- Maintain complete and accurate centralized operations records, audit logs, and documentation to support reporting, compliance readiness, and performance tracking.
- Demonstrate a positive, professional, and client-oriented attitude about the company with team members, prospects, applicants, residents, and clients. Produce professional business writings, assessments, memos, and projects based on assignment findings.
- Strive for improvements in centralized operations performance to meet or exceed annual financial and operational goals.
- Contribute to department platform developments and company-wide rollouts and provide feedback from all stakeholders to these changes.
- Analyze and communicate with operation teams and managers about the assigned community’s features, productivity, and needed support areas.
- Drive continuous improvement in centralized operations efficiency, quality, and consistency to support departmental KPIs and enterprise-level performance goals.
- Perform additional duties as assigned in support of Centralized Operations optimization, operational, and performance excellence.
- Performs all other duties as assigned.
SPECIFIC EDUCATION OR EXPERIENCE:
- Two (2) years of experience in property management, leasing, or compliance.
- Demonstrated Leadership Skills, Excellent time management, and organization skills.
- Must have a strong background in operations.
- Advanced knowledge of property management software, Microsoft Office, and Google Workspace.
- Ability to understand and carry out the industry-specific written and oral direction with a positive, innovative approach to problem-solving.
- Presents ideas in a clear, concise, understandable, and organized manner; negotiate, persuade, and modify opinion to reach the goals/objectives of the organization.
- Independently perform as a project leader and team member.
- Ability to work in an efficient manner with a high level of accuracy, attention to detail, and follow-through.
- Neat, professional appearance.
- Strong client relations skills and previous supervisory experience are required.
PHYSICAL DEMANDS AND WORK ENVIRONMENT:
- Frequently sit, stand, and walk.
- Regularly required to talk or hear.
- Frequently required to use hands or fingers to handle or feel objects, tools, or controls.
- Occasionally required to climb or balance, stoop, kneel, crouch or crawl.
- Occasionally lift and/or move up to 25 pounds.
- Vision abilities to include close vision, distance vision, peripheral vision, and the ability to adjust focus.
- The noise level in the work environment is usually moderate.
- Temperature in the workplace is typically moderate, though the ability to withstand seasonal cold and heat of the outdoors is necessary.
TRAVEL REQUIREMENTS:
- Travel up to 25% of the time weekly and at times over the weekend.
