Accounts Payable & Receivable Specialist - Elmhurst Chrysler Dodge Jeep Ram

Elmhurst Chrysler Dodge Jeep Ram is seeking an organized, dependable, and detail-oriented Accounts Payable & Accounts Receivable Specialist to join our Accounting Department. This position is responsible for accurately processing dealership payables and receivables, maintaining vendor and customer accounts, reconciling records, and supporting the day-to-day accounting functions of a busy automotive dealership. The ideal candidate is comfortable working in a fast-paced environment, has strong attention to detail, understands the importance of meeting accounting deadlines, and can communicate professionally with employees, managers, customers, and vendors.

Accounts Payable

• Process vendor invoices accurately and in a timely manner.

• Review invoices for appropriate documentation, approvals, and account coding.

• Match invoices to purchase orders, statements, and supporting documentation.

• Enter invoices and payments into the dealership accounting system.

• Prepare and process vendor payments according to established schedules.

• Reconcile vendor statements and research discrepancies.

• Maintain accurate vendor records and documentation.

• Respond to vendor inquiries regarding invoices and payment status.

• Identify duplicate invoices, incorrect charges, credits, and other discrepancies.

• Assist with month-end accounts payable reconciliation and closing procedures.

Accounts Receivable

• Record and post customer and dealership receivables accurately.

• Monitor outstanding balances and follow up on past-due accounts.

• Apply payments and credits to the appropriate accounts.

• Reconcile accounts receivable schedules to the general ledger.

• Research and resolve payment discrepancies.

• Maintain accurate supporting documentation for receivable transactions.

• Communicate professionally with customers, vendors, managers, and other departments regarding outstanding balances.

• Assist with dealership receivables, including applicable warranty, vendor, internal, and other automotive-related accounts.

Accounting & Dealership Support

• Maintain accurate accounting records and organized electronic and paper files.

• Assist with daily and monthly reconciliations.

• Research accounting discrepancies and communicate findings to management.

• Work closely with Sales, Service, Parts, and other dealership departments to obtain required documentation and resolve accounting issues.

• Assist the Accounting Department with month-end closing responsibilities.

• Maintain confidentiality of employee, customer, vendor, and dealership financial information.

• Follow dealership accounting procedures and internal controls.

• Assist with audits and provide supporting documentation when requested.

• Perform additional accounting and administrative duties as assigned.

Qualifications

• Previous accounts payable and/or accounts receivable experience preferred.

• Automotive dealership accounting experience is strongly preferred.

• Strong understanding of basic accounting principles and reconciliation procedures.

• Excellent attention to detail and accuracy.

• Strong organizational and time-management skills.

• Ability to manage multiple priorities and meet deadlines.

• Strong written and verbal communication skills.

• Ability to research discrepancies and independently follow through until issues are resolved.

• Professional and dependable with the ability to handle confidential financial information.

• Proficiency with Microsoft Excel, Outlook, and other standard office applications.

• Experience with automotive dealership management systems (DMS) is a plus.

• High school diploma or equivalent required; additional accounting or business education is a plus.
