Role Summary
The Service Writer serves as the communication hub between customers, technicians, and management. This position is responsible for creating accurate work orders, scheduling repairs, managing customer expectations, and ensuring the service department operates efficiently. The ideal candidate combines strong customer service skills with mechanical awareness and the ability to stay organized in a fast‑paced dealership environment.
Core Responsibilities
- Greet customers, listen to equipment concerns, and document issues clearly and accurately.
- Create, update, and close work orders in the dealership’s service system, ensuring all labor, parts, and notes are recorded.
- Schedule service appointments, coordinate technician workloads, and track job progress throughout the day.
- Communicate repair timelines, estimates, and status updates to customers in a clear, professional manner.
- Work closely with the parts department to source components, verify availability, and ensure timely repair completion.
- Review completed repairs with customers, explain work performed, and handle invoicing and payment processing.
- Assist with warranty claim documentation, including photos, serial numbers, and required manufacturer forms.
- Maintain a clean, organized service counter and contribute to a positive dealership experience.
- Support the service manager with administrative tasks, seasonal workload planning, and customer follow‑ups.
Required Skills & Qualifications
- Strong communication and customer‑service skills, with the ability to explain technical issues in plain language.
- Experience in a service‑writer, advisor, or customer‑facing role in automotive, equipment, or similar industries.
- Basic mechanical understanding of tractors, small engines, or power equipment.
- Ability to multitask, prioritize, and stay organized during high‑volume periods.
- Proficiency with computers, scheduling systems, and dealership management software.
- Valid driver’s license and ability to operate tractors and equipment safely.
Preferred Qualifications
- Experience in agricultural, construction, or outdoor power‑equipment dealerships.
- Familiarity with warranty processes and manufacturer service portals.
- Knowledge of Kioti, LS, or similar equipment lines.
- Comfort working with parts diagrams, service manuals, and technical documentation.
Work Environment & Expectations
- Full‑time position based in the Ellsworth Equipment service department.
- Mix of customer interaction, administrative work, and coordination with shop staff.
Pay: $18.00 - $23.00 per hour
