Elliott’s Blue Collar Plumbing is a fast-growing service leader. We are looking for an organized, proactive, and energetic Office Manager to be the backbone of our daily operations and support our team of 8–10 field technicians.
In this role, you won’t just be managing a space; you’ll be creating an environment where our team can do their best work. If you are a master of multitasking who thrives on keeping things running like a well-oiled machine, we want to meet you.
You will handle everything from dispatching and financial reporting to specialized Public Works compliance. We use Housecall Pro —we don’t expect you to be an expert yet but you must be familiar with business software and master it quickly.
Key Responsibilities
1. Customer Relations, Dispatch & Scheduling
- Strategic Dispatching: Manage daily schedules for multiple plumbers using Housecall Pro; minimize drive time while prioritizing urgent needs like leaky pipes.
- Inbound Sales: Be the professional "voice" of the company, converting inquiries into scheduled jobs by selling our value.
- The "Closed Loop": Follow up with customers after a job is completed to ensure satisfaction and ask for online reviews.
2. Financial & Growth Analysis
- Budget Oversight: Monitor monthly operating expenses (fuel, marketing, etc.) and provide "Actual vs. Projected" briefs to the owner.
- Profitability Partner: Analyze margins and labor costs to offer suggestions on pricing and efficiency.
- Revenue Protection: Monitor the HCP "Estimates" pipeline and follow up on open quotes to increase our closing rate.
- Cash Flow & AP/AR: Manage the sync between Housecall Pro and QuickBooks; oversee invoicing, collections, and vendor relationships.
3. Compliance & Public Works
- DIR/Public Works: Research and manage state/federal plumbing contracts. Handle project registration (PWC-100) and ensure Certified Payroll Reporting (eCPR) is accurate.
- Risk Management: Maintain active records for Workers’ Comp, General Liability, and technician licensing.
- HR, Fleet & Safety: Assist with HR onboarding tasks, oversee vehicle maintenance logs, fuel cards, and company safety plan compliance.
Who You Are
- The "Generalist" Specialist: You are comfortable talking to a plumber about a job site and analyzing a P&L statement or a DIR compliance filing.
- Tech-Forward: You have experience with business applications (CRMs, QuickBooks, or Dispatch software). Experience with Housecall Pro is a plus.
- Communicator: You have excellent verbal and written skills and can interact professionally with everyone from the owners to the delivery person.
- Calm Under Pressure: With multiple technicians things move fast. You pride yourself on staying organized when the phones are ringing.
- Detail-Obsessed: You notice the "unsent invoice" or the expiring permit before it becomes a problem. You are a natural problem solver.
