We are seeking a warm, polished, and highly organized Patient Care Coordinator to join our growing plastic surgery and aesthetic practice. This role is ideal for someone who thrives in a luxury client-facing environment, loves building relationships, and is passionate about delivering an exceptional patient experience from consultation through treatment and follow-up.
As the first point of contact for many of our patients, the Patient Care Coordinator plays a key role in creating a welcoming, professional, and seamless experience while supporting the practice’s surgical and non-surgical aesthetic services.
Key Responsibilities
- Greet patients and provide an elevated, welcoming front-office experience
- Answer phone calls, emails, and text inquiries in a timely and professional manner
- Schedule consultations, treatments, follow-ups, and surgical appointments
- Coordinate patient flow and ensure providers stay on schedule
- Educate patients on available services, treatment plans, and next steps
- Present pricing, financing options, and treatment recommendations with confidence and professionalism
- Support consultation conversion by building trust and maintaining consistent follow-up with prospective patients
- Maintain accurate patient records, intake forms, and documentation in the EMR/CRM system
- Assist with pre-op and post-op communication and patient coordination
- Process payments and support daily front desk administrative tasks
- Collaborate closely with providers and team members to ensure exceptional patient care and practice efficiency
Qualifications
- Previous experience in a medical office, med spa, plastic surgery, dermatology, or aesthetic practice preferred
- Strong customer service and sales confidence, especially in a luxury or elective service environment
- Excellent verbal and written communication skills
- Professional, polished, and compassionate demeanor
- Strong organizational skills with the ability to multitask in a fast-paced setting
- Comfortable discussing treatment pricing, packages, and financing
- Experience with scheduling software, EMR systems, and/or CRM platforms preferred
- Passion for aesthetics, wellness, beauty, and patient experience
