What are the responsibilities and job description for the CMMS Coordinator position at Ellaway Blues Consulting?
We are seeking a CMMS Coordinator to serve as the primary site resource for IBM Maximo and maintenance workflow execution within a heavy industrial environment. This individual will help drive successful system adoption, improve data quality and work-order discipline, and provide practical support to maintenance, operations, and leadership teams.
This role is focused on CMMS administration, user support, process consistency, and continuous improvement. It is not responsible for day-to-day maintenance scheduling or long-range turnaround planning.
Key Responsibilities
- Serve as the primary functional support resource for Maximo users at the site.
- Support CMMS implementation, testing, rollout validation, issue tracking, and post-go-live stabilization activities.
- Troubleshoot user issues, workflow breakdowns, system-use concerns, and data quality gaps.
- Help ensure maintenance workflows are consistently followed across maintenance and operations, where applicable.
- Improve the quality of work requests, work orders, status updates, required fields, coding, and maintenance history.
- Identify recurring process or system issues and recommend improvements that increase usability, compliance, and workflow efficiency.
- Assist with user training, coaching, and reinforcement of CMMS best practices.
- Develop and maintain SOPs, job aids, quick-reference guides, and standard work related to Maximo and maintenance processes.
- Partner with maintenance, operations, warehouse, engineering, and leadership to strengthen maintenance workflow discipline.
- Support KPI tracking and reporting related to CMMS adoption, work-order quality, workflow compliance, and data integrity.
- Help build sustainable tools, processes, and standards that improve long-term maintenance execution.
Qualifications
- High school diploma or GED required; associate degree or technical certification in industrial maintenance, operations, engineering technology, or a related field preferred.
- At least 3 years of hands-on Maximo experience in an industrial setting.
- Strong understanding of CMMS workflows, work-order processes, maintenance execution, and maintenance planning fundamentals.
- Experience supporting a CMMS implementation, system upgrade, or large-scale user-adoption effort.
- Ability to troubleshoot workflow, user-execution, and data-quality issues in a field-based environment.
- Strong attention to detail, organization, follow-through, and communication skills.
- Ability to work effectively with craft personnel, operations teams, contractors, and site leadership.
- Proficiency in Microsoft Excel, Word, Outlook, and related business tools.
Preferred Experience
- Five or more years of experience in maintenance systems, industrial maintenance, reliability, planning support, or a related field.
- Experience in refining, renewable fuels, chemicals, oil and gas, power generation, manufacturing, or another process-intensive industrial environment.
- Experience developing maintenance procedures, standard work, user guides, or process-improvement documentation.
- Familiarity with work-order reporting, maintenance KPIs, and CMMS data governance.
