Job Summary
The Registrar is responsible for the accurate maintenance, management, and reporting of student academic records, including grades, transcripts, and course histories. This position ensures data integrity within the student information system, supports the student enrollment and scheduling process, and provides clerical and administrative support to ensure compliance with district and state requirements.
Main Duties and Responsibilities
The intent of this job description is to provide a representative summary of the major duties and responsibilities performed by employees in this job. Employees may be requested to perform job-related tasks other than those specifically presented in this description.
- Maintain and update permanent student records, ensuring accuracy and confidentiality.
- Enter, verify, and manage student grades, course credits, and GPA calculations within the student information system.
- Process student enrollment, withdrawals, and transfers, including records requests and communication with previous schools.
- Input and manage demographic updates, course requests, and transfer credits.
- Develop and maintain student schedules at the beginning of the school year and throughout the year as needed.
- Monitor grade entry and assist teachers with the student information system.
- Generate and distribute report cards, transcripts, and other academic records.
- Identify students with failing grades and assist with parent notification processes.
- Ensure compliance with Tennessee attendance guidelines and district policies.
- Perform data audits and run system processes (e.g., grade calculations, credit posting) to ensure record accuracy.
- Assist with general clerical and administrative duties.
- Provide support for school operations, including assisting staff and responding to records-related inquiries.
- Perform additional duties as assigned by the school administration.
Minimum Education and Experience
- High school diploma or equivalent required.
- Vocational or technical training in office administration or a related field preferred.
- Minimum of three (3) to five (5) years of progressively responsible clerical or administrative experience preferred.
- Demonstrated proficiency in Microsoft Office applications (Word, Excel, Outlook, PowerPoint).
- Experience with student information systems and office procedures preferred.
