Job Summary
The Programs Assistant / Central Intake Associate will serve as the agency’s first point of contact for service seekers and other callers and visitors. This role entails providing exceptional verbal and written communication to streamline services, ensure appropriate case prioritization, and support Case Management staff in the day-to-day operations of the Elizabeth Coalition to House the Homeless. Following established policies and procedures, the Program Assistant will field calls and in-person inquiries, complete screenings, and route clients to the appropriate level of care.
This is an on-site, full-time, non-exempt position reporting to the Programs Coordinator. Standard hours for the role are 8:30 am-4:30 pm Monday-Friday.
- Serve as agency first point of contact for callers and in-person visitors, includes:
- Answering phones, transferring calls, and conducting telephonic screenings to new service seekers
- Admitting in-person visitors and ensuring visitors appropriately sign in and otherwise follow standard procedures for safe and hospitable services
- Overseeing the ECHH reception area, welcoming clients and other visitors, ensuring safety procedures are adhered to, and providing hospitable, prompt services.
- Conduct initial intake screenings of new clients (over the phone and in person) to determine service needs and prioritization levels
- Conduct regular follow-up calls to clients in their three-month post-service phase of the program
- Collaborate closely with agency Case Management staff to ensure prompt and appropriate internal referrals to available services for all clients
- Accurately and promptly enter data into the Homeless Management Information Systems (HMIS) to record client screenings and other client interactions
- Maintain an organized and accurate inventory of and order/stock supplies in accordance with agency procedures
- Assist with filing, organizing, sending, and receiving mail and packages, and other administrative tasks as needed.
- In accordance with internal agency procedures and external regulations, maintain a high degree of confidentiality, data integrity, and security to protect client information and preserve client dignity
- Where appropriate, participate in staff meetings, trainings, and other initiatives to support the overall mission and culture of the Elizabeth Coalition to House the Homeless
- Respond to and document incidents in accordance with agency procedures
- Aid program staff and management with other special projects as needed/assigned
- Interface with and oversee the daily on-site activities of ECHH volunteers
Qualifications and Experience
- HS Diploma or Equivalent
- Basic knowledge of social service/social work principles
- NJ Driver's license in good standing
- Comfortability and confidence in providing direct service to people experiencing homelessness and other subpopulations of at-risk people, including those with substance use disorders, mental illness, etc., are required
- Bilingual English/Spanish a plus, but not required
- Ability to effectively and safely use basic technology, including phones, computers, printers/scanners; Working knowledge of the Google Drive platform a plus
- Ability to learn and effectively utilize web-based database systems/platforms
- Ability to independently prioritize tasks, meet deadlines, and multitask required
- Ability to communicate professionally and effectively verbally and in writing
- Ability to work in a fast-paced, high-volume environment and effectively manage multiple priorities and deadlines
- Knowledge or experience with NJHMFA Homeless Management Information System (HMIS) or similar database a plus, but not required
- Persons with lived experience of homelessness/housing insecurity encouraged to apply
Pay: $35,360.00 per year
