Elite Sports Medicine Orthopedics is seeking a driven and detail-oriented Scheduling Supervisor to support our Administrative Manager and lead high-performing scheduling and operator teams. The Scheduling Supervisor plays a key role in hiring, training, mentoring, and managing team members while ensuring operational excellence across scheduling, Workman’s Compensation, and operator functions.
Key Responsibilities
- Assist Administrative Manager in hiring, training, mentoring, and supervising scheduling and operator teams
- Oversee daily performance, workflows, and processes for Scheduling Specialists and Operators
- Set, track, and achieve departmental Key Performance Indicators (KPIs)
- Conduct regular audits of scheduling accuracy, call quality, and team performance
- Review recorded calls, provide feedback, and coach team members for continuous improvement
- Lead team meetings, huddles, and ongoing training initiatives
- Maintain and update Scheduling and Operator Playbooks
- Support staffing coverage and assist in queue management as needed
- Complete annual performance reviews and quarterly check-ins for team members
- Partner with leadership to improve processes, reporting, and overall team efficiency
- Handle escalated issues with professionalism and strong problem-solving skills
Reporting Responsibilities
- Prepare and submit weekly reports to the Administrative Manager, including:
- Appointments scheduled
- Calls answered
- Abandonment rate
- Error rate
- Review and manage daily reports, including:
- Schedule audits and corrections
- Work Group Summary Reports for Scheduling and Operator teams
- Brightmetrics reporting to ensure proper staffing and performance
KNOWLEDGE, SKILL AND COMPETENCY REQUIREMENTS
- Bachelor’s degree preferred
- Minimum of 3 years of experience in a medical practice, hospital, or healthcare setting (supervisory experience preferred)
- Strong leadership, coaching, and team development skills
- Excellent written and verbal communication skills
- Ability to manage difficult situations and resolve conflicts effectively
- Strong organizational, delegation, and prioritization abilities
- Analytical mindset with numerical and reporting skills
- Working knowledge of orthopedic practice operations preferred
- Familiarity with HIPAA and OSHA regulations
- Experience with EMR systems (Greenway preferred) and Microsoft Office Suite
- Goal-oriented with a focus on continuous improvement and process development
