Elite Spine Specialists, a growing multi-location spine surgery practice on Long Island, is seeking an experienced Chief Operating Officer / Practice Administrator to oversee daily operations, improve efficiency, support physician leadership, and help drive strategic growth.
This is a senior operational role for someone who understands medical practice management, staff accountability, referral development, and the unique needs of a high-volume surgical specialty practice.
Key Responsibilities
The COO / Practice Administrator will be responsible for managing and improving the overall operations of the practice, including front desk workflows, scheduling, patient intake, billing coordination, staffing, vendor management, compliance support, and physician communication. This role will require close collaboration with the surgeons, physician assistants, marketing representatives, and administrative staff to ensure the practice runs efficiently and professionally across all locations.
Responsibilities include:
- Oversee day-to-day operations across multiple office locations.
- Improve scheduling, patient flow, staff productivity, and office efficiency.
- Manage and hold staff accountable for performance, professionalism, and responsiveness.
- Assist with referral relationships, physician outreach, marketing strategy, and business development.
- Support onboarding, training, and supervision of administrative and clinical support staff.
- Identify operational bottlenecks and implement practical solutions.
- Manage vendors, supplies, office systems, phones, IT coordination, and facility issues.
- Prepare regular reports for physician leadership on operations, staffing, billing issues, referral trends, and growth opportunities.
- Ensure HIPAA compliance, professional conduct, and appropriate office policies are followed.
- Help develop scalable systems as the practice continues to grow.
Ideal Candidate
The ideal candidate is a hands-on, highly organized healthcare operations leader who can both think strategically and execute day-to-day. This person should be comfortable working directly with physicians, managing staff, solving problems quickly, and improving systems in a busy specialty practice.
Preferred qualifications include:
- Prior experience as a COO, practice administrator, operations manager, or senior healthcare manager.
- Experience in orthopedic, spine, neurosurgery, pain management, surgical, or specialty medical practice preferred.
- Strong understanding of medical office workflows, billing coordination, insurance processes, and referral relationships.
- Excellent leadership, communication, and problem-solving skills.
- Ability to manage multiple locations and competing priorities.
- Comfortable creating structure, accountability, and measurable improvement.
- Professional, discreet, reliable, and comfortable working with physician owners.
Compensation
Competitive compensation based on experience.
In addition to base compensation, the position will include the opportunity for an incentive-based bonus tied to performance, operational improvements, growth initiatives, and achievement of mutually agreed-upon practice goals.
