Elite Parking Area Maintenance is a leading Long Island–based, commercial-only paving and sitework contractor, specializing in complex asphalt, concrete, drainage, earthwork, and civil improvement projects. For more than 20 years, Elite has delivered high-quality, on-time, and cost-effective solutions for some of the region’s most recognized office complexes, shopping centers, multifamily properties, big-box retailers, and municipal clients.
As our project volume and operational complexity continue to grow, we are expanding our estimating department and seeking a senior-level professional to help lead, organize, and elevate our estimating operations.
Position Overview: Lead Estimating Coordinator
This role goes beyond traditional estimating. The Lead Estimating Coordinator will play a pivotal role in organizing, managing, and improving Elite’s estimating department. You will be responsible for all bid, takeoff, and estimate requests, coordinating incoming bid packages, assigning work internally and to remote estimating resources, ensuring takeoffs are accurate and complete, and serving as the operational hub between field teams, project managers, vendors, and remote estimating staff.
Expert-level proficiency in PlanSwift and/or Bluebeam is required.
This is an ideal position for someone with strong technical estimating skills combined with the organizational, communication, and leadership capabilities needed to scale and professionalize a growing estimating department.
Key Responsibilities - Operational & Managerial
- Manage the overall workflow of the estimating department, including bid scheduling, resource allocation, material and subcontractor pricing, and deadlines.
- Coordinate and oversee remote estimators; review and validate takeoffs for accuracy, completeness, and consistency.
- Serve as the central liaison between field personnel, project managers, vendors, owners, engineers, and remote staff.
- Organize bid calendars, pre-bid meetings, bid submissions, and document control.
- Ensure all bid documentation, addenda, revisions, and RFIs are properly tracked, logged, and distributed.
- Technical Estimating Duties
- Conduct or oversee digital takeoffs using PlanSwift.
- Review civil drawings, drainage plans, utility sheets, site plans, and earthwork grading plans.
- Prepare detailed quantity takeoffs for asphalt, pavement, concrete, earthwork, utilities, and site improvements.
- Develop preliminary budgets, detailed cost breakdowns, and formal bid packages.
- Evaluate vendor and subcontractor quotes and maintain up-to-date pricing databases.
- Support value engineering efforts and prepare internal cost comparisons.
- Communication & Coordination
- Interface professionally with material suppliers, subcontractors, engineers, and general contractors.
- Maintain organized digital records and ensure estimating files are standardized and audit-ready.
- Assist with the handoff of awarded projects to operations and project management teams.
Required Skills & Qualifications
- Strong written and verbal communication skills (English).
- Intermediate to advanced proficiency in PlanSwift (required).
- Advanced proficiency in Microsoft Excel (required).
- Expert-level understanding of earthwork, grading plans, utility plans, and civil drawings.
- 3–7 years of experience in civil/sitework estimating, takeoff coordination, or construction project support.
- Ability to read, interpret, and annotate civil plans, details, and technical specifications.
- Strong organizational skills with the ability to manage multiple concurrent deadlines.
- Leadership experience or demonstrated ability to manage and review remote technical resources is a strong plus.
- Must be able to work on-site in Oakdale, NY.
Compensation & Benefits
- Starting salary: $100,000, based on experience.
- Paid Time Off: 1 week after 1 year of full-time employment.

- NY State Sick Leave (1 hour accrued per 30 hours worked).
