Job Description
This dual-role position combines independent, end-to-end medical-legal case coordination with administrative assistant support to a Nurse Case Strategist. Case coordination is the primary function of the role and is performed independently of the Nurse Case Strategist’s work.
In addition, the coordinator provides administrative support to a Nurse Case Strategist, who works directly with attorneys nationwide on both plaintiff and defense matters. This support includes routine follow-up phone calls, calendar management, task organization, and responding to client questions after proposals are issued, allowing the Nurse Case Strategist to remain focused on higher-level case strategy.

What You’ll Do
Primary Responsibilities: Case Coordination
- Serve as a primary point of contact for attorneys and medical experts, communicating clearly, professionally, and responsively via phone, email, and text
- Coordinate all case logistics from initiation through completion, including scheduling, troubleshooting, billing and invoicing, and ongoing attorney-client and expert communications
- Provide high-touch, white-glove service to both clients and medical experts, ensuring a seamless, professional experience at every stage of the case
- Proactively track deadlines, anticipate needs, and resolve issues to support the smooth progression of both active and lower-activity matters within a substantial caseload
- Maintain accurate, well-organized case documentation and ensure consistent follow-through across all assigned matters
Administrative Support to a Nurse Case Strategist
- Provide direct administrative assistant support to a Nurse Case Strategist
- Manage routine follow-up communications, calendaring, and task tracking related to strategist-led matters, with particular attention to time-sensitive items and deadlines
- Proactively support the Nurse Case Strategist by anticipating next steps, flagging upcoming obligations, and ensuring required follow-up occurs on potential new business.
- Assist with intake and setup of new matters once sufficient information is received
- Respond to basic client inquiries and coordinate communications to support timely decision-making and forward momentum

- Experience: A minimum of three years of administrative or coordination experience in a professional office setting, such as medical, legal, or another fast-paced, client-facing environment
- Communication & Organization: Strong written and verbal communication skills, excellent organizational habits, and the ability to manage competing priorities with clarity and follow-through
- Technology: Comfortable working across multiple modern platforms and systems; able to learn new tools quickly and adapt as workflows evolve
- Mindset: Proactive, detail-oriented, and solutions-focused, with the ability to anticipate needs, think ahead, and take initiative without constant direction

Familiarity with medical or legal terminology is helpful but not required. We provide comprehensive training for the right candidate and value aptitude, professionalism, and the ability to learn over prior industry experience.
