Responsibilities

• Greet guests warmly upon arrival and provide a professional, friendly first impression
• Manage appointment bookings and schedule spa services using computer and office management systems
• Answer multi-line phone systems promptly, professionally, and courteously, providing information or directing calls as needed
• Handle client inquiries via phone, email, or in person with excellent phone etiquette and clear communication skills
• Maintain accurate records of appointments, guest preferences, and billing information using Microsoft Office applications and word processing tools
• Assist with administrative tasks such as filing, proofreading documents, and managing calendars for spa staff
• Support front desk operations by coordinating check-in/check-out processes and ensuring smooth flow of guest services

Skills

• Bilingual abilities are highly desirable to serve a diverse clientele effectively
• Proven office management experience with strong organizational skills and attention to detail
• Proficiency in Microsoft Office Suite (Word, Excel, Outlook) along with general computer literacy
• Previous office or clerical experience, especially in customer service or front desk roles
• Excellent phone answering skills with proper phone etiquette on multi-line systems
• Strong administrative skills including calendar management, filing, typing, proofreading, and time management
• Exceptional client communication skills to provide personalized support and support guest needs confidently
• Personal assistant or office support experience is a plus to handle diverse responsibilities efficiently
