Position Overview:
We are seeking a friendly, reliable, and detail-oriented Administrative Assistant to join our team full-time. As a first point of contact for our clinic, you will provide exceptional customer service to patients and visitors, while efficiently managing a variety of administrative tasks to support the smooth operation of our practice. This role requires strong communication skills, excellent follow-through, and the ability to navigate fast-paced environments while maintaining compassion and professionalism.
Key Responsibilities:
- Greet and assist patients, visitors, and staff in a professional and courteous manner
- Answer and direct phone calls, respond to inquiries, relay messages accurately and promptly
- Schedule, confirm, and manage appointments using our electronic health record (EHR) system
- Verify patient insurance information and assist with billing processes
- Collect and process co-payments and other fees as needed
- Maintain patient confidentiality and adhere strictly to HIPAA regulations
- Prepare, update, and maintain patient records and documentation
- Handle correspondence, scanning, faxing, filing, and electronic uploading of documents
- Support clinicians and administrative staff with various tasks as needed
- Maintain office supplies and ensure the reception area is clean, organized, and welcoming
Scope of Role:
To support safe, compliant, and efficient clinic operations:
· This role is administrative only and does not involve clinical decision-making
· Must follow established workflows, policies, procedures and protocols
· Must maintain appropriate boundaries with patients, staff, and providers
· Works under the direction of clinic owners and the office manager; not a managerial role

· Professional, compassionate communication with patients and staff
· Strong independent problem-solving with appropriate escalation when needed
· Excellent attendance, punctuality, and reliability
· Willingness to learn clinic systems and adapt as processes evolve

Qualifications:
- High school diploma or equivalent required
- Previous experience in a medical or mental health office setting strongly preferred
- Proficient in Microsoft Office and comfortable with EHR systems
- Excellent verbal and written communication skills
- Strong organizational skills and attention to detail
- Ability to multitask and remain calm in a fast-paced environment
- Demonstrated commitment to patient confidentiality and professionalism
