Position Overview
The Membership Coordinator is responsible for driving occupancy and building a strong resident community within our coliving properties. This role functions as a specialized leasing and recruitment position, focused on advertising available living spaces, communicating with prospective members, coordinating tours, screening applicants, and onboarding qualified individuals into memberships.
This position requires excellent communication skills, strong follow-through, and the ability to manage multiple leads simultaneously while maintaining a high-quality member experience.
Key Responsibilities
Member Recruitment & Leasing
- Actively market and advertise available living spaces across multiple platforms (online listings, social media, referrals, internal channels, etc.)
- Respond promptly and professionally to inquiries via phone, text, email, and other
- Qualify prospective members based on occupancy criteria and community standards
- Schedule, coordinate, and conduct property tours (in-person and/or virtual)
- Present living spaces clearly, accurately, and persuasively
- Maintain strong conversion from inquiry → tour → application → move-in
Lead Management & Communication
- Manage inbound and outbound leads using CRM tools, spreadsheets, or systems
- Maintain consistent follow-up with prospects at all stages of the leasing pipeline
- Track lead sources, conversion rates, and occupancy needs
- Coordinate waitlists and future availability
- Manage referral system and incentives
- Serve as the primary point of contact for prospective members during the process
- Create and manage new lead generation tools
Screening & Onboarding
- Collect applications and supporting documentation
- Conduct background checks, reference checks, and income verification (as required)
- Ensure compliance with fair housing and internal screening standards
- Communicate approval or denial decisions clearly and professionally
- Coordinate lease/membership execution and onboarding steps
- Assist new members with move-in logistics and expectations
Administrative & Operational Support
- Maintain accurate member records and leasing documentation
- Update availability calendars, pricing, and listings
- Coordinate with property management, cleaning, maintenance, photography, and operations teams to ensure units are show-ready
- Assist with reporting on occupancy, leasing activity, and demand trends
- Support special projects related to community growth, company development, marketing, and member experience
- Use similar skills to manage properties connected to the company
Qualifications & Skills
- Strong written and verbal communication skills
- Customer-focused, relationship-driven mindset
- Highly organized with strong attention to detail
- Comfortable managing high volumes of messages, leads, and follow-ups
- Sales, leasing, hospitality, or customer service experience preferred
- Tech-savvy: comfortable using listing platforms (especially Facebook marketplace), database tools, messaging apps, and shared documents
- Ability to work independently while coordinating with a broader team
- Reliable transportation that can be used for work purposes
- Flexible work schedule, including some weekends and evenings
