Position OverviewThe Office Administrator / Human Resources Specialist plays a critical role in supporting Element Service Group’s people, culture, and financial operations. This position owns key administrative functions including recruitment, onboarding/offboarding, payroll support, benefits administration, bookkeeping support, and employee relations. The ideal candidate is highly organized, detail-oriented, people-focused, and comfortable operating in a fast-paced service business environment.This role serves as a central support hub for leadership, employees, and external partners while helping ensure compliance, accuracy, and a positive employee experience.Key ResponsibilitiesHuman Resources & People Operations
- Manage the full employee lifecycle including recruitment, onboarding, offboarding, and personnel file maintenance
- Administer the company Applicant Tracking System (ATS), conduct initial applicant screenings, and coordinate interviews
- Support HRIS administration, employee records, and multi-state employee tax accounts as applicable
- Assist with payroll processing on a bi-weekly basis, ensuring accurate deductions, taxes, and benefit withholdings
- Administer employee benefits including enrollments, payroll deductions, fund remittance, and reconciliations
- Research and support compliance with applicable HR laws and regulations; assist leadership with policy updates and employee communications
- Support employee relations initiatives including surveys, feedback tracking, and culture-building activities
- Assist in creating, tracking, and administering employee bonus and incentive programs
Office Administration & Accounting Support
- Manage accounts receivable and payable, including invoicing, payment processing, and vendor bill review
- Reconcile company credit cards and assist with general bookkeeping functions
- Maintain organized financial records and support preparation of financial reports as needed
- Assist with escrow, trust, or designated account reconciliations where applicable
- Track and apply payments, ensuring accuracy and proper documentation
- Coordinate with external vendors, insurance providers, and partners as needed
Operational & Administrative Support
- Maintain organized digital and physical filing systems
- Create and manage spreadsheets, reports, and tracking tools to support operations
- Assist leadership with administrative projects, reporting, and internal process improvements
- Help organize staff events, meetings, and internal communications
- Act as a professional and approachable point of contact for employees and internal stakeholders
Qualifications
- 3 years of experience in office administration, HR, bookkeeping, or accounting support
- Working knowledge of payroll processes, benefits administration, and employee records management
- Experience with ATS, HRIS, and accounting or bookkeeping systems preferred
- Strong organizational skills with exceptional attention to detail
- Excellent written and verbal communication skills
- Ability to handle confidential information with professionalism and discretion
- Comfortable working in a growing, evolving company environment
Preferred Experience
- Experience supporting multi-location or multi-state employees
- Familiarity with service-based or trades organizations (HVAC, plumbing, mechanical services a plus)
- Experience managing bonus or incentive programs
- Knowledge of basic accounting principles and reconciliations

Pay: $50,000.00 - $85,000.00 per year
