Responsibilities
- Manage day-to-day office operations, including front desk duties, multi-line phone systems, and calendar management for leadership and staff.
- Oversee scheduling, coordinate meetings and events, and handle logistics for company functions to promote team engagement and operational success.
- Supervise administrative staff and provide training & development opportunities to foster team growth and enhance office productivity.
- Maintain vendor relationships by managing contracts, negotiating terms, and ensuring timely delivery of supplies and services.
- Handle bookkeeping tasks such as invoicing, expense tracking, budgeting, payroll processing, and utilizing QuickBooks for financial management.
- Support human resources functions including onboarding new employees, maintaining personnel files, managing filing systems, and ensuring compliance with HR policies.
- Oversee medical or specialized office management tasks if applicable, including patient or client records management and appointment scheduling.
Qualifications
- Proven experience in office management or administrative roles with strong clerical and organizational skills.
- Supervising experience with the ability to lead a team effectively while fostering a collaborative environment.
- Proficiency in QuickBooks or similar accounting software; experience with budgeting and bookkeeping is highly desirable.
- Excellent communication skills with professional phone etiquette and the ability to manage multi-line phone systems confidently.
- Strong calendar management skills to coordinate schedules efficiently across multiple stakeholders.
- Experience in event planning, vendor management, and handling complex scheduling logistics.
- Knowledge of human resources practices including onboarding, training & development, and payroll processing.
