Position Summary
We are looking for a detail-driven and tech-savvy Office Administrator to support sales and project operations across the business. In this hybrid role, you'll be the administrative anchor for customer interactions, project coordination, and operational documentation. You’ll work closely with project managers, sales staff, and field teams to keep projects and client communications on track. This position is ideal for someone with strong organizational skills, experience in a construction, electrical, or industrial setting, and familiarity with project- and customer facing workflows.
Key Responsibilities Sales
Customer Support:
- Prepare and send quotes, contracts, proposals, and invoices
- Track sales activity and update CRM/project systems accordingly
- Handle inbound client communications and follow-up
- Assist in coordinating bid submissions and RFP responses
Project Coordination:
- Schedule internal and client meetings
- Maintain and update project records in Trimble software platforms
- Communicate with clients regarding project status, deliverables, and schedules
- Support the tracking of materials, labor logs, and site reports
Administrative & Office Operations:
- Organize and maintain digital and physical files (project, safety, compliance)
- Assist in onboarding field employees with respect to admin and systems
- Help ensure data accuracy in software like Spectrum, ProjectSight, Accubid, and Traqspera
- Support timesheet tracking and reporting functions
Required Qualifications
- 2–4 years of experience in administrative support roles, ideally in construction, electrical services, or related industry
- Strong proficiency in Microsoft Office Suite (Outlook, Excel, Word, Teams)
- Excellent communication, problem-solving, and multitasking skills
- Able to thrive in a hybrid environment and manage priorities independently
- Comfortable working with both union field staff and office personnel
Preferred Qualifications
- Experience working with Trimble platforms or equivalent project/ERP software (Spectrum, ProjectSight, Accubid, Traqspera, etc.)
- Prior experience in a union-based or trade services company
- Familiarity with basic project management or estimating workflows
- Experience coordinating with field crews or project managers
Work Environment & Schedule
- Hybrid model: 2–3 days/week in office; remainder remote Standard hours:
- Monday–Friday, 8 AM to 5 PM (flexible based on workload)
