Job Duties and Responsibilities
Front Desk & Guest Support
- Serve as the front desk representative during office hours, greeting visitors and employees.
- Assist with EGS guest arrivals and provide hospitality while guests are in the lobby.
- Take phone calls and messages for the office team and distribute appropriately.
- Assist with meeting room preparation, including setting up for group meetings and cleaning up afterward.
- Manage and order office supplies to ensure availability for staff needs.
- Maintain and replenish office kitchen inventory weekly, including beverages, snacks, and meals.
- Track, organize, and maintain marketing inventory in storage for events, promotions, and campaigns.
- Handle pick-up, drop-off, and coordination of packages, mail, and correspondence, including obtaining required signatures for packages and sending outgoing packages.
- Assist office staff with printing, filing, and general administrative needs.
- Maintain organization and cleanliness of shared office spaces daily.
- Assist with ordering and tracking of new hire PPE kits to ensure timely delivery.
- Manage American FR accounts for existing employees, ensuring proper updates and access.
- Provide backup support to other administrative staff as required with additional tasks or systems.
- Work with vendors and service providers for office maintenance and support services.
- Support leadership with administrative tasks, scheduling, and coordination as needed.
- Assist with event coordination, including materials preparation and setup.
- Experience in office administration or customer service roles
- Strong organizational and time-management skills.
- Proficiency with MS Office Suite (Word, Excel, Outlook, PowerPoint).
- Excellent verbal and written communication skills.
- Ability to handle multiple tasks in a fast-paced environment.
- Professional and dependable with strong attention to detail.
- Ability to maintain strict confidentiality regarding sensitive employee
- High level of professionalism and integrity

- Work is performed in an office environment and requires the ability to operate standard office equipment and
- Substantial movements of the hands, wrists, and/or
- Required to have close visual acuity to perform activities such as preparing and analyzing data and figures or viewing a computer screen.
- Required to be able to operate phone in order to professionally make and receive calls, manage voicemail and messages.
- Regular handling of deliveries, mail, and supplies requiring light lifting. Ability to lift up to 20
- May require occasional extended hours for meetings, events, or deadlines.
- High School Diploma or equivalent
- Associate or bachelor’s degree preferred.
- 2 years of experience in administrative, office support, or customer service roles.
- Organized and Detail-Oriented – Keeps track of supplies, inventory, and office operations.
