Job Title: Executive Assistant to CEO

Position reports to: CEO

Job Classification: Full-Time/Exempt

Job Summary

The Chief of Staff serves as the leader of the Executive Office and a trusted advisor to the CEO, translating strategic priorities into measurable results across Electra Grid Solutions, Electra Lines, and affiliated ventures. This role drives organizational alignment, operational discipline, executive communications, and cross-functional execution while ensuring the CEO remains focused on growth, client relationships, strategic partnerships, culture, and long-term value creation.

Job Duties And Responsibilities

Executive Office & Governance

  • Manage CEO priorities and strategic calendar.
  • Prepare executive briefings and decision-making materials.
  • Track company initiatives and foll up on executive decisions.
  • Manage confidential and high impact projects.
  • Coordinate Board of Directors and Executive Leadership meetings.
  • Representing the CEO in internal meetings as delegated.

Strategic Planning & Leadership

  • Lead execution of:
  • Annual strategic plan
  • Quarterly Business Reviews (QBRs)
  • OKRs and KPIs across all business units
  • Leadership scorecards
  • Company dashboards and reporting systems
  • Enterprise-wide executive reporting
  • Ensure every initiative is aligned, measured, and delivered with accountability.

Business Development & Client Strategy

  • Partner with CEO to drive growth and strengthen client relationships.
  • Key Utility relationships: Southern Company, Georgia Power, Entergy, Duke Energy, Dominion, Ameren, PSEG, NiSource, TVA, and municipal utilities.
  • Opportunity pipeline management
  • Proposal tracking and win-rate improvement.
  • CRM oversight and reporting
  • Conference and industry event preparation
  • Executive presentations and client materials

Joint Venture Management

  • Coordinate with Joint Venture leadership to ensure alignment and performance.
  • Lead weekly executive meetings.
  • Track opportunities and pipeline.
  • Oversee financial and performance reporting.
  • Support resource planning and staffing alignment.
  • Manage risk identification and mitigation.
  • Track executive action items.
  • JV Dashboard Ownership:
  • Revenue and margin
  • Pipeline and backlog.
  • Proposal status
  • Crew availability
  • Safety metrics
  • Client issues

Diversity Certifications & Supplier Registration Management

  • Serve as the executive leader for supplier diversity strategy and compliance.
  • Oversee all certifications and renewals.
  • WBENC
  • NMSDC
  • SBA
  • DBE
  • MBE/WBE
  • State and local certifications
  • Manage registration with utility, EPC, and government clients.
  • Maintain Avetta, ISNetworld, and contractor qualifications systems.
  • Coordinate insurance, safety, and financial documentation.
  • Find new certification opportunities aligned with growth.
  • Dashboard Oversight
  • Certification status and renewal tracking
  • Customer registrations
  • Compliance requirements
  • Outstanding action items

Diversity Certifications & Supplier Registration Management

  • Maintain real-time executive dashboard providing visibility into financial, operational, business development, safety, and workforce performance metrics.
  • Deliver executive summaries and decision-support reporting as needed.

CEO Office Communications

  • Own executive messaging and internal/external communication
  • Weekly CEO updates
  • Monthly Leaderships Reports
  • Quarterly “State of the Company”
  • Executive presentations
  • Board materials
  • Industry speaking engagement support.

Cross-Functional Coordination

  • Function as the primary liaison across:
  • Executive Leadership
  • Operations

  • External strategic partners
  • Ensure every initiative includes:

Ideal Candidate & Experience

  • Ten plus years’ executive leadership or management consulting experience.
  • Experience in construction, utilities, infrastructure, or engineering preferred.
  • Strong financial and operational acumen
  • Experience supporting C-Suite executives.
