Key Responsibilities
- Leadership: Directly manage administrative assistant(s), overseeing their daily responsibilities and performance. Work cohesively with the sales department to create a seamless workflow.
- Financial Management: Oversee Accounts Receivable/Payable and work with banking partners for deposits and credit card reconciliation.
- HR & Administration: Manage minor HR functions including new hire onboarding, and tracking employee time-off.
- Operations: Utilize QuickBooks and MS Office to enter sales orders, invoice shipments, and manage office supply inventory, along with general office duties and workflow.
- Continuous Improvement: Define and track measures to ensure the company’s financial objectives are consistently met.
- Education/Experience: Previous experience as office manager required. Higher education is preferred but not required.
- Technical Skills: Proficiency in QuickBooks, Google Workspace, Multi-line phone system, and Microsoft Excel.
- Financial Knowledge: Comprehensive understanding of month-end closing, journal entries, balance sheet reconciliations, and internal control systems.
- Industry Awareness: A sound understanding of business and production processes, including purchasing, receiving, assembly, and shipping.
- Communication: Excellent verbal and written skills with the ability to lead a team and multitask in a fast-paced environment.
- Initiative: Proactive problem-solving with the innate ability to generate ideas including going beyond expectations.
