CLASS PURPOSE

Executive - Provide assistance and support to the Executive Director by performing a variety of administrative functions for the senior services programs. Grant writing for grants for the continued operations of the business.

Housing - Provide assistance and support to the Housing manager by performing a variety of functions that include the day to day operations of the senior and multi-family subsidized housing program.

Transportation - Schedules rides for our elderly and disabled participants. Works directly with the drivers to ensure those rides are carried out. Submits reporting on the rides to the Executive Director monthly as well as performs a variety of functions that include day to day operations of the transportation program.

GENERAL INFORMATION

HOURS0- Mon-Fri 8am-Noon

This position works under the direction of the agency’s Executive Director and Housing Manager.

Assists with meeting activities, overseeing calendar of activities and meetings and maintaining appropriate records. Overseeing the maintenance of the office, preparing and maintaining records, reports and documents, filing, preparing and making bank deposits, performing various general office administrative duties and completing projects as assigned.

PRINCIPAL ACCOUNTABILITIES - Housing

Duties include, but are not limited to, the following:

  • Collect rents, provide monthly rent collection report to Housing Manager and Executive Director;
  • Attend meetings and training as needed;
  • Work with auditors in maintaining and supplying records and files;
  • Work with other agencies within the aging network to keep them informed of housing availability;

PRINCIPAL ACCOUNTABILITIES – Senior Services

  • Responsible for collecting and creating monthly reports to the Executive Director from senior centers for the completion of reports to AAA and TVT
  • Supply specific documentation to all agencies as requested;
  • Assist the Executive Director with grant writing where appropriate;
  • Take minutes at the monthly and quarterly board meeting. Send out agendas, board announcements and minutes prior to meetings;
  • Check with coordinator at hosting center to verify date and approximate number of participants;
  • Maintain current list of all board members (EOA Board and Center Boards)to include their names, addressees and phone numbers;
  • Represent EOA with a professional, supportive, positive presentation.
  • Perform other duties as required.

PRINCIPAL ACCOUNTABILITIES – Transportation

  • Responsible for the scheduling of all rides.
  • Communicate directly with the drivers.
  • Maintain proper records on the vehicles
  • Register new participants for the program

Knowledge Skills and Abilities

  • Ability to work well with people.
  • Ability to communicate both orally and in writing with a wide range of people.
  • Ability to operate all office equipment.
  • Skilled in computer usage to include Outlook, Word, Excel, PowerPoint, Publisher.

MINIMUM QUALIFICATIONS

Combination of education, training and work experience that demonstrates the ability to fulfill the requirements of this position.
