Position Overview
Elder Corporation is seeking a detail-oriented and customer-focused Receptionist/Payroll Assistant. This role is responsible for greeting clients and visitors, managing calls, assisting with payroll balancing, and supporting accounts payable and general administrative functions. The ideal candidate thrives in a fast-paced environment, enjoys multitasking, and has a keen eye for accuracy and organization. This position is a seasonal/temporary position till the end of the year.
Key Responsibilities
- Welcome clients, visitors, and guests, providing direction or escorting them to the appropriate location.
- Answer, screen, and direct incoming calls.
- Collect, enter, and balance payroll time in HeavyJob and Excel.
- Enter sub-trucker tickets and missing employee time into payroll system.
- Retrieve, scan, and index packing slips.
- Manage Certificates of Insurance, W-9s, and Lien Waivers in PVault and Sage; follow up on missing/expired documents.
- Assist with accounts payable, including entering and routing invoices, reconciling discrepancies.
- Deposit incoming checks for multiple entities.
- Maintain updated company and executive contact information in Outlook.
- Order and stock office, kitchen, and shop supplies; oversee mail distribution and post office runs.
- Support special projects such as unemployment authorizations, safety spot checks, event RSVPs, and daily dispatch reporting.
- Maintain office equipment schedules, shredding services, and conference room/meeting bookings.
- Perform filing, data entry, and other clerical duties as needed.
- Provide backup assistance to AP inbox, PO Box pickup, and other team functions.
Qualifications
Required Skills & Abilities:
- Strong verbal and written communication skills.
- Excellent customer service and interpersonal skills.
- High attention to detail with strong organizational skills.
- Proficiency in Microsoft Office Suite (especially Excel); experience with HeavyJob, Sage, or QuickBooks a plus but not required.
- Ability to handle sensitive information with discretion.
Education & Experience:
- High school diploma or equivalent required.
- Previous administrative, payroll, or accounts payable experience preferred.
Physical Requirements:
- Prolonged periods of sitting at a desk and working on a computer.
- Must be able to lift up to 15 pounds occasionally.
