Responsibilities
- Manage calendars and schedule appointments using tools like Google Workspace and Microsoft Office
- Handle incoming calls through multi-line phone systems with professionalism and courtesy, practicing excellent phone etiquette
- Provide exceptional customer support via email, chat, or phone, ensuring client satisfaction at every interaction
- Perform data entry and maintain accurate records through filing, proofreading, and organizing digital documents
- Assist with office management duties such as ordering supplies, managing inventory, and coordinating mail or deliveries
- Support bookkeeping tasks using QuickBooks or similar accounting software to track expenses and invoices
- Conduct general administrative tasks including typing correspondence, managing emails, and updating databases
Requirements
- Proven experience as a Virtual Assistant or in an administrative role with office management responsibilities
- Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace (Docs, Sheets, Calendar)
- Excellent organizational skills with the ability to multitask effectively in a fast-paced environment
- Previous clerical experience including data entry, filing, proofreading, and document management
- Exceptional customer service skills paired with professional phone etiquette and strong communication abilities
- Familiarity with multi-line phone systems and front desk procedures is highly desirable
- Bilingual abilities are a plus to support diverse client needs
- Experience in medical or dental receptionist roles or personal assistant positions is advantageous but not required
