Front Desk Coordinator
Reports To: Chief Operating Officer
Status: Full-Time, Non-Exempt
Position Summary
The Front Desk Coordinator serves as a key administrative and operational support professional for the organization and is often the first point of contact for clients, visitors, clinicians, staff, donors, volunteers, and community partners. This position is responsible for ensuring smooth front desk operations while providing administrative support to the Chief Operating Officer, leadership team, and agency staff. The Front Desk Coordinator plays an integral role in supporting the day-to-day operations of the organization through exceptional customer service, strong organizational skills, and effective coordination across departments.
The ideal candidate is highly organized, detail-oriented, professional, and committed to supporting the mission of Schoke JFS while managing multiple priorities in a fast-paced nonprofit environment.
Key Responsibilities
Front Desk Operations & Client Experience
- Serve as the first point of contact for clients, visitors, donors, volunteers, and community members, providing a welcoming and professional experience.
- Answer, screen, and direct incoming telephone calls and agency inquiries.
- Provide general information about agency programs and services and route inquiries to appropriate staff.
- Maintain an organized, welcoming reception area and monitor front desk materials, forms, and brochures.
Administrative Support & Office Operations
- Maintain office supply inventories and coordinate purchasing of office, kitchen, and operational supplies.
- Maintain agency records, filing systems, staff lists, promotional materials, and perform general data entry.
- Provide administrative support across departments and assist with special projects as assigned.
- Maintain strict confidentiality of client, organizational, and financial information in accordance with agency policies and applicable confidentiality/HIPAA requirements.
- Attend and assist with occasional evening meetings and agency events.
- Perform other duties and special projects as assigned.
Financial, Billing & Donation Processing
- Process donations, checks, credit card payments, and other financial transactions in accordance with agency procedures.
- Enter donor and gift information into the agency's donor CRM/database and maintain accurate financial documentation and spreadsheets.
- Support billing, payment tracking, reconciliation activities, and related financial recordkeeping.
Qualifications
Required Qualifications
- High school diploma or equivalent required; associate's or bachelor's degree preferred.
- Two or more years of administrative, office coordination, receptionist, or related experience preferred.
- Excellent organizational, multitasking, and time-management skills.
- Strong written, verbal, and interpersonal communication skills.
- Professional demeanor with exceptional customer service skills.
- Proficiency with Microsoft Office Suite (Word, Excel, Outlook) and the ability to quickly learn agency software and database systems.
- Ability to work collaboratively with staff, clinicians, leadership, volunteers, board members, and community partners.
Preferred Qualifications
- Experience in a nonprofit, healthcare, behavioral health, or human services environment.
- Experience with billing, payment processing, donor databases, or CRM systems.
Physical Requirements & Work Environment
- Prolonged periods of sitting, standing, and computer use.
- Ability to occasionally lift and move office supplies, meeting materials, and packages (up to 25 pounds).
- Frequent use of standard office equipment, including computers, telephones, copiers, scanners, and payment processing systems.
