Front Office Manager
We are looking for a Front office manager to manage our reception area. You will act as the ‘face’ of our company and ensure visitors receive a heartwarming welcome. You will coordinate all front desk activities, including calls, appointments for the pest control technicians and contractor proposals. As a Front office manager, you should combine a pleasant personality with a dynamic professional attitude to manage the business. Our ideal candidate can deal efficiently with complaints and has a solid customer service approach. Ultimately, you should be able to ensure our front desk provides professional and friendly service to our customers. The ideal candidate must have strong and solid administrative experience. Prefer at least 5 years office work experience.
Responsibilities
o Schedule the technicians for constant work on daily basis
o Receive the daily accounts receivables and prepare the bank deposits
o Receive the monthly rent payments for the commercial rental properties and annotate in Microsoft Excel spreadsheet
o Type up the daily route sheets for each technician on Microsoft Work
o Look up customers in the Microsoft Access data base to make phone calls to schedule appointments
o Print out the monthly termite notices for payments for termite bonds
o Ensure the files are kept up correctly and filed
o Take credit card payments over the phone using point of sale program
o Be able to use multi-line phone
o Be able to advise the new customers on pricing
o front desk is tidy and has all necessary stationery and material (e.g. pens, forms and informative leaflets)
o Ensure timely and accurate customer service
o Handle complaints and specific customers requests
o Troubleshoot emergencies
o Monitor stock and order office supplies
o Ensure proper mail distribution
o Prepare and monitor office budget
o Keep updated records of office expenses and costs
o Ensure company’s policies and security requirements are met
Skills
· Proven work experience as a Front desk manager or Reception manager
· Hands on experience with office machines (e.g. fax machines and printers, including a DOT matrix printer)
· Thorough knowledge of customer service, office management and basic bookkeeping procedures
· Proficiency in English (oral and written)
· Solid knowledge of MS Office, particularly Excel and Word
· Excellent communication and people skills
· Good organizational and multitasking abilities
· Problem-solving skills
· High School diploma or equilvalent; additional certification is a plus
