Role Description The Legal Assistant/Intake Coordinator is a full-time, on-site role based in Charlotte, NC. This position is responsible for managing incoming client inquiries, conducting initial intake interviews, gathering essential facts and documentation, and accurately entering data into case management systems. The role includes requesting medical records/billing, preparing and organizing basic legal documents and case timelines, maintaining case files, scheduling appointments, and coordinating communication between attorneys, clients, and outside parties. The Legal Assistant/Intake Coordinator will also handle general administrative tasks such as answering phones, managing correspondence, and supporting attorneys with case follow-up. The role requires consistent, professional communication, attention to detail, and a client-centered approach.
Qualifications
- Familiarity with medical malpractice/personal injury practice
- Strong communication skills, including clear, professional verbal and written communication with clients and team members
- Experience providing administrative assistance in a legal or professional office setting
- Prior experience as a legal assistant or in a similar support role within a law firm
- Ability to manage multiple tasks, prioritize deadlines, and maintain accuracy in a fast-paced environment
- Comfort with client intake, including interviewing, data collection, and handling sensitive information with discretion
- Proficiency with office and case management software (e.g., Microsoft Office, legal practice management tools)
- High level of professionalism, reliability, and respect for confidentiality and ethical standards
- Associate’s or bachelor’s degree in paralegal studies, legal studies, or a related field, or equivalent relevant experience
