Position: Event and Conference Manager
Reports to: Vice President, Director of Historical Properties
Job Summary: Responsible for overseeing the planning, coordination, and execution of events and conferences on El Pomar properties, ensuring that all events and conferences meet the highest standards of quality and customer satisfaction. This role involves working closely with outside organizations, vendors, and internal staff to deliver a welcoming and responsive atmosphere for guests and staff.
Job Classification: Full-time, exempt
Salary Range: $57,200 - $75,000/year

ESSENTIAL DUTIES AND RESPONSIBILITIES:
Staff Supervision:
- Supervise conference support staff to include managing, training, performance evaluation, and ensuring staff are professional and well prepared
Vendor Management:
- Source and manage relationships with caterers, vendors, and rental companies
- Ensure vendor insurance requirements are current and accurate
Event Planning:
- Communicate and collaborate with external organizations and internal staff seeking meeting and/or event space about their needs and El Pomar expectations; provide thorough and detailed support for external and internal event planners, including conducting site-visits, aligning catering arrangements, and proposing venue set-ups
- Process and manage meeting details and coordinate with conference support staff members
Administrative:
- Maintain the reservation software, to include problem solving, system changes and fiscal year set-up, prepare monthly billing for external users and prepare various internal usage and accounting reports; keep event usage records, including total "gift -in-kind" value and associated summary reports
- Work closely with internal stakeholders to help manage receptions, associated space, and catering
- Other duties as assigned

While performing job duties, the employee will occasionally be required to bend and lift up to 20 pounds.

A successful candidate must be a high school graduate or equivalent with at least six (6) years of experience. A degree and at least four (4) years is preferred.

REMOTE WORKING:
This position does qualify for remote work per the Employee Handbook and with supervisor approval once training has been completed.

Childcare Benefit
- After 6 months of service, eligible for daycare assistance for an employee's dependent child or children under the age of 5 and living with the employee. Employees are reimbursed for 30% of the daycare fee paid to a qualified, licensed daycare provider with a maximum monthly benefit of $500.
Continued Education/Tuition Reimbursement
- The Foundation places great value in the skills and abilities of our employees. To maintain and improve those skills, we offer educational benefits for memberships in employment related professional societies or associations, and to attend employment related local, regional or national training, seminars and meetings.
- Full-time employees with at least 1 year of service may be reimbursed for undergraduate or graduate academic course work that maintains or improves job related skills or are in the Foundation's areas of interest. The Foundation will reimburse 100% of tuition at public universities or 50% of tuition at private universities for up to 6 academic hours per semester. The employee must maintain a B or higher grade to receive the reimbursement. Also, the Foundation will reimburse the employee up to $500 per semester for books, supplies, and/or parking pass. This reimbursement may be considered a taxable event to the employee.
- The Foundation provides up to $2,000 a year for employees to participate in a pre-approved certificate program that may or may not be job related.
